Responsibilities

Provide proactive assistance to internal teams and/or Executives with various administrative tasks

• Coordinate meeting schedules, reserve meeting spaces, manage out-of-office alerts, and handle call forwarding

• Organize travel arrangements, including itineraries, accommodations, car services, and all travel-related communications

• Reconcile and finalize expense reports for business credit card transactions

• Submit timesheets and support billing and invoicing processes

• Prepare and organize reports and documents

• Perform office-related duties, including ordering supplies and maintaining a records database

• Arrange event logistics, including booking venues, organizing catering, sending invitations, and managing RSVPs

Key Qualifications:

• Minimum 3 years of relevant experience (working with US clients).

• Proficiency in MS Office Suite and Google Suite applications in line with company standards

• Strong written and verbal communication abilities

• Demonstrated experience as an executive assistant or in similar administrative support roles

• Proven track record in identifying and meeting client needs, such as responding to requests in a timely and professional manner, offering assistance proactively, and contributing to a positive, team-oriented environment
