Job Description

We’re seeking a detail-oriented and proactive Virtual Assistant to support our client’s expanding sales and marketing efforts. In this role, you’ll be at the forefront of customer relationship management, playing a crucial part in streamlining communication with prospects and clients. Your organizational skills will directly contribute to the company’s growth as they continue to innovate in the pharmaceutical R&D space. This position offers a unique opportunity to gain insights into the drug development industry while honing your skills in CRM management, event coordination, and digital marketing support.

Responsibilities

  • Manage and optimize the company’s Hubspot CRM, ensuring all contact information and client interactions are accurately recorded and up-to-date
  • Proactively follow up on open quotes and nurture ongoing opportunities within the sales pipeline
  • Coordinate logistics for industry trade shows and conferences, including liaising with designers for eye-catching promotional materials
  • Perform minor website updates to keep the company’s online presence fresh and informative
  • Craft and send engaging follow-up emails to prospects and clients, maintaining a professional tone aligned with the pharmaceutical industry
  • Assist in organizing and scheduling key meetings and appointments for the sales and marketing team
  • Support various administrative tasks to enhance the efficiency of the sales and marketing department
  • Potential to expand role into social media management and content creation for platforms like LinkedIn and Facebook

Requirements

  • Proven experience with CRM systems, particularly Hubspot
  • Exceptional organizational skills with a talent for juggling multiple tasks and priorities
  • Strong written and verbal communication abilities, with a keen eye for detail
  • Basic web editing skills and familiarity with content management systems
  • Proficiency with VOIP phone systems is a plus
  • Self-motivated with the ability to work independently in a remote setting
  • Adaptable and quick to learn new processes and technologies
  • Interest in or basic understanding of the pharmaceutical industry is beneficial
  • Availability to work during Eastern Time business hours (9 AM to 6 PM ET)
  • Comfortable with the potential to transition from part-time to full-time based on performance and business needs
