We are looking for an Encoding Production Supervisor Trainee with at least one (1) year of experience in a supervisory position.
Salary: PHP 25,000 - PHP 30,000
Work Setup: Onsite

Encoding Production Supervisor
The Production Supervisor is responsible for overseeing multiple teams to ensure project completion and performance standards are met. This role involves coordinating with digitization project sites for workload, managing client billing, monitoring production output, and ensuring team compliance with company policies. The Production Supervisor is a key leadership position that requires strong management, communication, and operational skills to ensure smooth project execution and meet organizational goals.
Duties and Responsibilities:
Deliverable Output:
- Ensure production output aligns with the required formula: Number of Manpower x Required Speed x Production Hours = Output
Qualitative Deliverables:
- Report daily manpower and production status to the Production Manager and ensure timely project completion.
- Monitor production flow, manpower distribution, and work schedules set by the Production Manager.
- Ensure deadlines and quotas are met for all projects.
- Verify the correctness of programs as end-user based on client specifications before encoders' utilization.
- Turn over production status or updates in keying instructions to the next shift’s Supervisor for smooth work transition.
- Regularly monitor the speed and accuracy of indexers using the BPO Tool for teams assigned. Implement remedial actions for those not meeting speed and accuracy standards.
- Speed is monitored through individual output tracking.
- Accuracy is checked daily to identify keyers not meeting project accuracy requirements.
- Evaluate the performance of subordinates.
- Disseminate information from the HR department and management to subordinates and vice versa.
- Coordinate with the HR Department to implement Company Policies and Procedures.
- Check attendance of Team Leaders and support staff, reporting violations related to tardiness and absences to the immediate superior and HR Department.
- Conduct one-on-one counseling sessions with team members.
- Lead project orientation and explain encoding instructions to newly hired keyers and operations support.
- Coordinate with the Quality Control Group to ensure accuracy of keyers.
- Monitor and report attendance of encoders and operations support, addressing violations of company rules regarding tardiness and absences.
- Ensure the correctness and update of installed program tools for team projects.
- Distribute workload among encoders and regularly monitor their hourly and daily speed/accuracy output to meet daily projections in both quality and quantity.
- Endorse memos for disciplinary actions concerning missed quotas or inappropriate behavior in accordance with company policies.
- Ensure cleanliness, orderliness, and proper work attitude within the team’s working area during the shift.
- Supervise encoding operations.
- Regularly check project status and assist/clarify instructions to encoders when encoding documents.
- Submit/file production reports after the shift.
- Perform other tasks as assigned by superiors.
QUALIFICATIONS REQUIRED:
- Proven experience in a supervisory role, preferably in an encoding or data processing environment.
- Good understanding of production workflows, manpower management, and project coordination.
- Strong communication skills, with the ability to effectively convey instructions and report on team performance.
- Ability to lead and motivate a team to achieve high productivity and meet project deadlines.
- Strong problem-solving skills and attention to detail to maintain production quality and address issues promptly.
- Familiarity with encoding processes and tools used in the team.
- Strong organizational skills, with the ability to manage multiple tasks and priorities.
- Ability to adapt quickly to changing project requirements and schedules.
- Must be able to handle confidential information and ensure compliance with company policies.
