Job Summary:

Provides a variety of clerical and administrative duties to enable the Property Management Office manage the day to day activities which include maintaining Unit Owner / Tenant accounts, compiling information and analyzing data, and helps coordinate work activities.

Duties and Responsibilities:

  • Prepares and processes correspondence, reports, meeting agendas, and general papers; composes and types routine correspondence, memos, letters, reports, etc.
  • Maintains and organizes documents and communications, databases; researches, gathers and analyzes data; monitors transmittal of documents released by the PMO.
  • Monitors and ensures submission of requirements for ID, access cards and sticker application; processes up ID applications of maids and drivers.
  • Issues security access cards, car stickers and ID for maids and drivers; prepares summary report of issued car stickers and IDs.
  • Sorts out all mails and distributes them into the mailboxes; ensures that the mailroom is kept clean and orderly as possible.
  • Delivers circulars, letters, documents and other materials as instructed by the PMO.
  • Follows up renewal of expired tenant storage leases.
  • Receives payment and issues proper official and provisional receipts, whichever is more appropriate, for every payment received.
  • Prepares daily collection report, deposit slips and transmits to Accounting Department.
  • Prepares and segregates billing statements for release.
  • Assists in handling complaints, inquiries and concerns of residents.
  • Maintains office equipment and monitors office supplies
  • Performs other duties and functions as may be assigned.
