Position Summary

The Assistant, Training & Development will provide administrative assistance and logistical support within the Training and Development department.

Primary Responsibilities

  • Provides general administrative and operational support to the HR Training and Development department.
  • Supports the planning and organizing of instructor-led courses, e.g., training venue booking and set-up, preparation of training materials/equipment, communicating with target participants and their superiors, production, and distribution of training certificates, etc.
  • Supports the promotion of training programs through DreamCentral posting, e-mail announcements, invitations, updating of bulletin boards, etc.
  • Captures DreamCentral course enrolments and sending training invitations, reminders, and calendar notifications to confirmed participants, as well as regret notifications when needed, according to the conditions set, and the policies and procedures of the organization.
  • Collaborates with superiors to support the timely compliance of colleagues in completing online courses.
  • Conducts property tours and learning sessions as duly authorized by Manager, Training & Development.
  • Assists with the documentation of My First 90 Days, external training, and cross-exposure training of colleagues.
  • Inputs training records in the Learning Management System and/or other relevant Human Resources systems. Conducts monthly self-audit to maintain completeness and accuracy.
  • Ensures all manual and electronic training records are filed and stored in accordance with Company policies and department practices.
  • Assists in preparing data for training reports.
  • Handles the inventory, ordering, and maintenance of supplies, equipment, training rooms, and storage areas owned by HR Training & Development. Assists in preparing the monthly accrual report.
  • Assists in processing other financial documentations, e.g., cash advance and liquidations, payments, and reimbursements for the department.
  • Assists student intern applicants for their interview and helps with the maintenance of Intern 201 documents.
  • Assists with answering general HR Training queries, e.g., training enrollments, venue, course completion, internship referrals, etc.
  • Drives brand values and philosophy in all training and developmental activities.
  • Adheres to all Company policies and procedures.
  • Participates in cross-organizational events as directed by supervisors.
  • Performs other reasonable tasks or special projects, as assigned by management from time to time.

Qualifications

I. Experience

  • Exposure in supporting a training and development department is a plus factor, but not a must.

II. Education

  • Graduate of a diploma course, preferably in Human Resources or Hospitality Management

III. Skills And Competencies

  • Excellent computer skills, including MS Office programs
  • Good command in both written and spoken English
  • Effective customer service and problem-solving skills
  • Creative, resourceful, innovative and proactively develops new concepts and deliver creative solutions
  • Good at time management and coordination skills
  • Highly analytical and with strong attention to details
  • Able to work on flexible shifts or render overtime when needed
