The Marketing Project Coordinator is responsible for managing and organizing the marketing department's projects, timelines, and deliverables. The ideal candidate will oversee marketing calendars, maintain accurate tracking of all marketing initiatives, and ensure seamless communication between creative teams, internal stakeholders, and external vendors. This role requires a highly organized individual with excellent communication skills who thrives in a fast-paced environment.

DUTIES AND RESPONSIBILITY

Project Coordination & Tracking

  • Maintain and update comprehensive marketing project trackers.
  • Manage the marketing calendar, ensuring deadlines are clearly communicated and met.
  • Track progress of marketing campaigns and projects, alerting stakeholders to potential delays.

Communication and Liaison

  • Act as liaison between the marketing department, internal stakeholders, and external vendors for project intake and deliverables.
  • Facilitate clear communication and workflow approvals among all relevant teams.
  • Manage project updates and status meetings to keep all parties informed.

Organization and Documentation

  • Maintain accurate documentation and records of all marketing activities and deliverables.
  • Works with Marketing Director to develop processes and systems to streamline workflows and improve department efficiency.
  • Coordinate the final approval process and distribution of marketing materials.

Vendor Coordination

  • Coordinate timely delivery of marketing assets to external vendors.
  • Ensures quality control of deliverables to external vendors, and coordinates proof review with internal stakeholders.

QUALIFICATIONS AND SKILLS

  • Bachelor's degree in marketing, communications, business, or related field preferred.
  • Minimum 2 years of experience in marketing coordination, project management, or similar roles.
  • Proficiency in Google Sheets or Excel.
  • Excellent organizational, planning, and multitasking skills.
  • Strong English verbal and written communication abilities.
  • Detail-oriented with an ability to manage multiple projects and priorities simultaneously.
  • Knowledge of marketing techniques
  • Project management experience
  • Previous experience in marketing operations or agency project management.
  • Familiarity with creative production workflows and approval processes.
  • Must be a self-starter and able to independently move projects forward, prioritize tasks, and meet deadlines
