What are we looking for?
Skills Required
- At least 5 years of previous experience in client-facing roles or customer service.
- Proficiency in Asana & Google Sheets (experience managing project workflows and tracking deliverables is essential). Meticulously organized and detail-driven, with the ability to manage multiple tasks and projects simultaneously
- Ability to problem-solve proactively, think strategically, and maintain strong client relationships.
- Background in marketing, advertising, or a related field (prior marketing experience is not required, but familiarity with industry concepts is preferred).
- Strong written and verbal communication skills in business-level English (Spanish proficiency is a plus)
Internal Coordination, Project Management, & SOP Development
- Act as a central point of contact for day-to-day client requests, ensuring all deliverables are tracked and executed efficiently.
- Manage project timelines, tasks, and team workflows using Asana and Google Sheets to maintain accountability and progress visibility.
- Attend all client meetings alongside the Account Director, ensuring full alignment on discussions, strategic direction, and next steps.
- Maintain comprehensive meeting notes, track action items, and communicate updates to internal teams.
- Collaborate with the Project Manager to optimize workflows and prevent bottlenecks.
- Support the Operations Manager in refining internal processes to enhance team performance and operational efficiency.
- Develop, document, and enforce Standard Operating Procedures (SOPs) to create consistency in execution, improve efficiency, and maintain quality across client projects.
- Regularly audit and optimize SOPs, ensuring they evolve with team needs, client expectations, and industry best practices.
- Work with internal teams to produce and deliver weekly, monthly, and quarterly reports to provide insights on project status, performance, and key metrics.
- Track and manage retainer hours, ensuring all allocated time is accurately recorded.
- Communicate proactively with Operations Management and the Client regarding potential overages before they occur.
- Estimate out-of-scope work and manage lateral effort, ensuring appropriate approvals and client alignment before additional work is undertaken.
- Gradually take ownership of client communication, handling ongoing check-ins, updates, and relationship management.
- Lead weekly client meetings, ensuring seamless execution, expectation alignment, and proactive problem-solving.
- Serve as the primary point of contact for clients, maintaining strong relationships and driving value through strategic collaboration.
- Work closely with internal teams to develop and execute marketing initiatives aligned with client objectives.
- Ensure a smooth transition of responsibilities as the Account Director shifts into an advisory role with monthly or quarterly client engagements.
