Job Description: Operations Assistant

Scope

  • Monday to Friday, 8am to 5pm Minneapolis, MN time with an hour unpaid break
  • Manage and prioritize multiple communication channels simultaneously
  • Contribute to the growth of the company through effective lead generation and client acquisition
  • Ensure smooth information flow between clients, case managers, and internal departments
  • Maintain accurate and up-to-date records of client interactions and inquiries
  • Adapt to evolving business needs and take on additional responsibilities as required

Responsibilities

  • Generate and follow up on leads for home healthcare services
  • Communicate effectively with case managers and potential clients
  • Manage booking and intake processes for new clients
  • Respond promptly to emails and inquiries across various platforms
  • Engage with and grow the company’s social media presence
  • Handle incoming phone calls and direct them to appropriate departments
  • Perform client-facing tasks and address customer needs
  • Assist with case management follow-ups and documentation
  • Draft detailed emails and reports for internal and external communication
  • Utilize various communication tools (email, text, WhatsApp) for efficient outreach

Requirements

  • Excellent written and verbal communication skills in English
  • Proficiency in using various digital communication platforms and tools
  • Strong attention to detail and ability to multitask
  • Comfortable with making cold calls and engaging in phone conversations
  • Quick learner with the ability to understand and articulate healthcare services
  • Experience in customer service or administrative support roles preferred
  • Familiarity with HIPAA compliance and healthcare regulations a plus
