Job Description:

Serves as the point of contact in the office of the president among executives, employees, clients and other external partners as well as to manage any information flow in the office of the president in a timely and accurate manner.

Job Qualifications:

  • At least two (2) years of experience in Office Administration or any related field
  • Graduate of Bachelor’s Degree in Office Administration, Management or any related course
  • Proficient in MS Office
  • Outstanding organizational and time management skills
  • Familiarity with office gadgets and applications
  • Excellent verbal and written communications skills

Roles and responsibilities:

ADMINISTRATIVE SUPPORT IN THE OFFICE OF THE PRESIDENT

• Receives documents and consolidates all memos, approval, projects, and plans for the approval of the President

• Makes sure that memos and documents are reviewed and studied before the weekly presentation to the President.

• Accuracy of the numbers and information should be double checked prior signing of the President

• Monitors the distribution of important files and documents to the involved personnel or department

• Routes SM China memos for approval to all signatories in Manila head office

• Helps the president to screen and review all documents coming in to his office

• Provides inputs to the President in line with the development and conceptualization of initiatives that will improve the department’s operations and processes

• Cascades and communicates instructions and directives related from the office of the President and from the office of the Chairman to the Executive Committee

PEOPLE MANAGEMENT

• Encompasses the tasks of recruitment, management, and providing ongoing support and direction to all the employees within the team. These tasks includes compensation, hiring, performance management, safety, wellness, benefits, employee motivation, communication, administration, and training for overall talent development and for the best interest of the company.

• Participates as a Subject Matter Expert (SME) in any training program development and/or implementation, which requires the specific technical and/or soft skills of the job to contribute in the development of talents within the organization.
