THE OPPORTUNITY

Our partner is a renowned Australian company that creates exceptional lifestyle communities and unforgettable holiday experiences! Founded in 2006 as a family-owned business, they manage an expanding portfolio of land lease communities, holiday parks, and mixed-use caravan parks. They are expanding their team and seeking a Virtual Team Assistant to join their Manila team.

This position will play a critical role in supporting the Business Unit (BU) Management team by driving organization, accountability, and efficiency. As a Virtual Team Assistant, your role is designed to free up the CEO, GM and Operations Management team time, enabling them to focus on strategic priorities by assisting with managing administrative tasks, coordinating communications, and enhancing team-wide productivity.

Key Responsibilities

  • Coordinate and manage the CEOs' and General Manager of Operations' calendars.
  • Oversee and maintain the Business Unit calendar, ensuring alignment with organizational priorities.
  • Draft the monthly Business Unit newsletter for staff, leveraging AI tools like ChatGPT for efficiency and engagement.
  • Prepare high-quality reports, presentations, and internal communications.
  • Champion the use of Microsoft Planner across BU management teams to enhance accountability and task management.
  • Facilitate project management using Microsoft Project (or equivalent) for the BU Development Team.
  • Plan and book travel arrangements, including flights, accommodation, and transportation, ensuring seamless logistics for the CEOs and other BU staff as required.


Skills, Experience & Qualification

  • Proven experience in an Administration or Personal Assistant role or similar role (2+ years preferred).
  • Advanced skills in Microsoft Office Suite, especially Planner and Project.
  • Exceptional organizational skills and attention to detail.
  • Strong written and verbal English Language communication skills.
  • High level of emotional intelligence with the ability to manage multiple stakeholders.
  • Ability to maintain discretion and handle confidential matters.
  • Tech-savvy and comfortable leveraging AI and productivity tools.
  • A flexible, can-do attitude with a passion for driving efficiencies.
