Procurement Associate
PROCUREMENT ASSOCIATE
Job Summary:
Procurement Associate is responsible for sourcing and purchasing the materials, supplies, equipment, and services that the company needs to operate. Procurement Associate may also be tasked with managing inventory levels and ensuring that all of the necessary components are available in order to fulfill company and stores requirements. This includes close coordination with the whole SCM team and other stakeholders.
This position will also provide support to the Import/Export Administrator or the Procurement Officer and assist in the preparation of import and export documents in compliance with customs and government regulations
Duties/Responsibilities:
- Coordinating with other departments such as warehousing, shipping, or accounting to ensure that goods are delivered on time and in full not to mention in good condition
- Conducting bid events and maintaining records of bids and purchase orders for future reference
- Initiating and processing purchase orders for materials or services needed by the company
- Coordinating with suppliers for product samples submission, payment terms, delivery schedules, and assist in the resolution of issues regarding payment, quality or quantity of goods
- Interacting with suppliers and vendors to ensure that orders are filled correctly and on time
- Maintain and update weekly and monthly departmental reports (using Excel and Power point)
- Review, prepare and process import and export documentation according to customs regulations laws and procedures
- Reviews paperwork and documents to ensure duty, shipping, handling, storage charges, and customs fees are billed correctly.
- Monitor the container with the shipping company and supplier
- Transmit complete set of documents to Customs Broker for customs clearing and to Finance for Bank Settlement.
- Ensure completeness of requirements and documentation from suppliers and requesting department/user are received to facilitate delivery and payment by organizing files and updated database
- Preparation of Import Purchases, Export documents, landed cost and posting in system
- Performs other duties as assigned.
Special Requirements:
Work Experience
-Must have at least 2 years experience as buyer or purchaser in a food industry.
-Preferred prior experience in preparing customs and shipping documents.
Education Any 4-year Business Course.
Certification None
Work Location Must be willing to do fieldwork as may be required from time to time.
Others Must be adept in the use of Microsoft Office (Word, Excel and
PowerPoint)
