About the role

This role will provide comprehensive administrative support to ensure smooth operations within the firm. You will assist with various tasks, including client communication, scheduling, documentation, and office management involved in an accounting firm.

Additionally, you will act as the personal assistant to the CEO, managing their schedule and assisting with key administrative tasks. Your organisational skills and attention to detail will directly contribute to the firm’s operational success and client satisfaction.

Key Responsibilities:

  • Administrative Support: Provide general administrative support to the team, including:
  1. Electronic filing, data entry, and handling electronic correspondence.
  2. Assist with accounts receivable, and debt collection
  3. Billing, and Xero fee imports to ensure smooth office operations and accurate financial management.
  4. Provide access in blue Xero to other staff
  5. Correspond with IT department for IT needs
  6. Co-ordinate audit shield renewals and receipt payments
  7. Ah hoc tasks
  8. Manage mail box
  9. Update Monday.com for workflow management
  • Personal Assistant Duties to the CEO: Assist the CEO with:
  1. Scheduling meetings, managing calendars, booking travel arrangements, preparing documents and presentations, ensure the CEO’s time is managed efficiently and priorities are met.
  2. Management of the CEO’s emails for distribution to other staff, and actioning where possible
  • Client and Staff Onboarding/Offboarding: Manage the onboarding and offboarding process for clients and staff, including:
  1. Preparing and updating relevant procedures, sending documents to be signed, and following up to ensure a seamless transition and maintain high levels of satisfaction.
  2. Handling ethical letters and onboarding clients
  • Planning and Scheduling: Develop and maintain planning and scheduling processes, including: Coordinating internal meetings, coordinating external events, and meetings; Calendar management
  • Client and Team Communication and Liaison:
  1. Handle incoming emails through our “mail” email, respond to client inquiries and provide information as needed.
  2. Assist with the preparation and follow-up of Ignition proposals as part of the onboarding process to maintain high levels of client satisfaction and professional communication.
  3. Liaise with the Australian administration team members daily and as required
  4. Liaise with all team members daily
  • Document Management and Procedure Development:
  1. Prepare, format, and edit documents, reports, and presentations for internal and client use, ensuring accuracy and professionalism.
  2. Maintain and update as required procedures for onboarding and offboarding clients and staff, to ensure consistency and operational excellence.
  • ASIC document management: Review and forward to clients the ASIC annual review documents, follow up for return and payment as required; Prepare changes to company and member changes on the appropriate forms as required
  • BAS and IAS workpaper preparation: Prepare files for the accounting staff to work on as per the procedure
  • BAS, IAS Tax finalisation: Finalise the documents for signing and lodgment as per procedure
  • Income Tax workpaper preparation: Prepare files for the accounting staff to work on according to the procedure

Qualifications / Skills:

  • Business Administration qualification required
  • Experience in the same or similar role within the last 2 years with 5 years plus experience
  • Excellent organisational abilities
  • Strong written and verbal communication skills
  • High level of accuracy and attention to detail
  • Ability to handle sensitive information with discretion and maintain confidentiality
  • Proactive approach to problem-solving with strong decision-making capabilities.
  • Flexible and adaptable to changing priorities and business needs.
  • Software knowledge and proficient use of the following:

-Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams)

-Xero accounting (blue)

-Xero Practice Manager (green)

-Xero Workpapers (for set up only) and other office management tools
