We’re seeking a detail-oriented Client Services & Data Entry Specialist to support our growing workshop-based financial education program. In this dynamic dual-role position, you’ll be the vital link between our educational workshops and our client success initiatives. You’ll manage both the operational aspects of our workshop program and nurture relationships with workshop attendees, ensuring a smooth transition from educational session to personalized financial planning services. This role offers excellent growth potential as we expand our workshop presence nationwide, with the opportunity to transition from part-time to full-time as our operations scale. Responsibilities
- Provide professional pre-workshop communication to registered attendees
- Make welcome calls to confirm attendance and participant numbers
- Address questions about workshop logistics and venue details
- Ensure attendees have all necessary information for a successful experience
- Execute strategic post-workshop follow-up
- Contact workshop participants to arrange valuable one-on-one consultations
- Coordinate scheduling between attendees and financial planning specialists
- Maintain professional and engaging communication throughout the process
- Manage comprehensive data processing and CRM operations
- Process and digitize workshop documentation with high attention to detail
- Create and maintain detailed client profiles in our CRM system
- Input and organize post-appointment notes and critical client information
- Support nationwide workshop expansion initiatives
- Assist with centralizing workshop administration across multiple locations
- Adapt processes to support growing number of workshop facilitators
- Contribute to scaling operations while maintaining service excellence
- Excellent verbal communication skills with a warm, professional phone presence
- Strong organizational abilities and meticulous attention to detail
- Proficiency with CRM systems and data entry tools
- Ability to work Mountain Time zone business hours
- Minimum availability of 20 hours per week
- Experience in customer service or client relations preferred
- Strong multitasking capabilities and ability to prioritize effectively
- Professional demeanor and excellent listening skills
- Commitment to maintaining confidentiality with sensitive financial information
- Ability to work independently while following established processes
