To support overall supply logistics and importation processes such as raising of orders to business partner, SAP processing, booking of shipment, coordinating of required import documents, review of forwarder's freight quotation, receiving shipment's notice, and reporting shipment's expected time of arrival and expediting release of shipment in Customs in compliance with the various requirements of the company and JV partners.
Description Of Duties
- Accurately updates order and shipment detail/ status through close coordination with other functional departments and regional supply chain team; flagging risks and opportunities as necessary
- Ensure efficiency in the Company's import processes while ensuring compliance to all government regulations, including safekeeping of all the documents related to importation
- Work with Regulatory Pharmacist to ensure all new launches and innovations are registered in FDA prior ordering and arrival of stocks in PH
- Liaising with Clearing Agents, Forwarders, internal customers (Lux and JV Demand Planner's) and principals from cargo shipping arrangement to clearance at Customs and timely delivery to warehouse
- Ensures Accuracy of shipping documents and check completeness of documents required to release shipment including COO as needed to reduce duties and tax
- Review and check the accuracy of the forwarder's actual billing against agreed quotation. File a dispute for discrepancies
- Prepares and consolidate needed import documents for record keeping and forwarding these to AP as a requirement to ensure on-time payment to the billings of forwarder
- Ensures that all inbound shipments received are booked as payable per vendor through SAP system transaction (MIRO) and coordination with Finance
- Execute timely submission of monthly goods in transit report of JV partners to comply with JV's Finance requirement
- Reports summary of shipment cost for F&B and CDT and updates PO condition in SAP quarterly as required by Luxasia or JVs
- In-charge processing claims to business partner and forwarder, including write-off system transaction of inbound delivery's non-compliances such as shortages and damages
- Serve any other duties that may be assigned from time to time
