Your Role

As a Product Administrator, you will:

Projects (New Products & Suppliers)

  • Manage each stage of the product development lifecycle.
  • High Level Stages include:
    • Pre-Scoping Stage eg: research, part identification
    • Scoping Stage eg: Business case development
    • Design, Development & Validation Stage
    • Production Stage
  • Key activities include:
    • Communicate with various stakeholders
    • Research parts including application
    • Parts interpretation
    • Prepare business case
    • Purchase / Source sample parts
    • Product re-engineering
    • Design / develop product technical specifications
    • Supplier identification and validation
    • Perform RFQ and purchasing
    • Perform quality assurance
    • Maintain digital folders and documents
    • Maintain ERP system
Purchasing / Procurement

  • Support product group manager in purchasing activities.
  • Supplier negotiation.
  • Create supplier RFQ and purchase orders.
  • Follow-up overdue POs with suppliers.
  • Communicate with buyers and managers on purchasing delays and reasons.
  • Supplier price list maintenance.
  • Maintain supplier pricing folders and documents.
  • Data cleansing, transformation, matching and loading
  • Support manager with seasonal demand forecasting.
  • Organise / facilitate the procurement of samples and sending to various destinations for investigation

Product Technical Support

  • Support sales teams and product managers with product technical support. This includes product type, features and benefits, specifications, retail and cost price, procurement lead times, supplier information.

Parts Interpretation

  • Interpret Original Equipment Manufacturer (OEM) assembly diagrams and part numbers.
  • Research OEM part and determine machine assembly and location, associated parts and application.
  • Determine aftermarket cross reference part/s.

Inventory Management

  • Ad hoc tasks eg: review reports and create lists.
  • Create and maintain parts, part substitutes and related part and site information.
  • Create Bills of Material, Revision Control

Product Quality

  • Create product feedback ticket in QA system, maintain notes and tasks in QA system [SharePoint].
  • Create RMAs, Create Non-Conformance, Create DMRs, Create Transfer Orders, organise supplier inspections and returns, complete tasks [QA system, ERP, email]

Collaboration

  • Communicate with Suppliers, Manufacturers, Product Managers, Buyers, Sales Representatives, Accounts Payable, Financial Controller, Warehouse Manager, General Manager, Freight Forwarders [email, whatsapp, teams, phone]

Marketing

  • Support marketing activities for current and new products.

What You Need

Non-negotiables

  • 5+ year’s experience in a procurement/purchasing position. Bachelor of Business Administration or equivalent.
  • Has used windows-based ERP system/s eg: SAP, Epicor, MS Dynamics.
  • Experience with heavy machinery and / or replacement spare parts for heavy machinery is highly regarded
  • Excellent English verbal and written.
  • Very high-level attention to detail with very low error rate.
  • Excellent administration skills including electronic filing and document management.
  • Able to follow instructions, ask questions and complete tasks.
  • Intermediate level in MS excel - inserting, formulas, cleansing, extracting, transforming data.
  • Intermediate level in MS Word.
