Position Summary:
As an Assistant Commercial Administrator, you will play a crucial role in ensuring the smooth and efficient functioning of day-to-day office activities, managing administrative tasks and organizational effectiveness. You will work closely with the Commercial Administrator, the finance department, clients, suppliers, and company employees to maintain accurate documentation, manage communications, and support project coordination.

Key Responsibilities:
- Administrative Support: Manage emails and correspondence, ensuring timely and professional communication. Maintain organised digital filing systems.
- Documentation Management: Monitor employee compliance, including licences, qualifications and other certifications held by employees, booking in training when necessary.
- Support for Project Management: Assist project managers with tracking project progress, compiling reports, and maintaining accurate project files.
- Data Entry: Keeping equipment registers, vehicle servicing registers and other essential reports, ensuring timely updates and compliance.
- Timesheets: Review and process weekly employee timesheets.
- Customer Service: Serve as a point of contact for client inquiries via email, providing information and resolving issues with professionalism and efficiency.
- Billing & Invoicing: Generate progress claims, prepare and issue invoices, and follow up on payments.
Requirements:
- Strong communication skills and fluency in written and spoken English.
- Experience as an Administrator or in a similar role within the Building and Construction Industry (roofing experience highly regarded).
- Excellent organisational skills, problem-solving skills and a keen attention to detail.
- Flexibility and adaptability, with the ability to handle ad hoc requests when required.
- Ability to manage multiple tasks and prioritise workload in a fast-paced environment.
- Proficiency in MS Office (Word, Excel, PowerPoint) and other relevant software.
- Ability to work independently and as part of a team.
- Basic knowledge of accounting practices and billing procedures.
