We are looking for Executive Assistants!!

First client: Digital Marketing Agency

Roles and Responsibilities:

Phone support:

  • Call volume ranges from 5–30+ per day, depending on various factors.
  • Calls can include sales leads, client support inquiries, third-party solicitations, and more.

Billing and collections process

  • Running project/program hours to flag deficits or surpluses.
  • Creating and sending invoices to clients.
  • Processing credit card payments for clients with saved information.
  • Contacting clients about overdue invoices and addressing billing inquiries.
  • Monitoring and maintaining sales projections against payments collected.

Additional tasks:

  • Running task/hours audits.
  • Maintaining project inventory (e.g., archiving old/offboarded clients).
  • Supporting internal projects for Explore Digital, including blog and social calendar tasks (helping to ensure tasks and posts are scheduled).
  • Optimizing ClickUp by setting up proper automations, ensuring workspaces are organized, and cleaning up outdated items.
  • Filling lead sheets.
  • Managing LastPass.
  • Balancing team task workloads.
  • Scheduling and coordinating meetings.
  • Keeping SOP documents up to date.
  • Assisting with employee evaluation documentation.
  • Email monitoring(optional but preferred).

We’ll provide training for our specific processes, some of which are manual. Efficiency, professionalism, confidentiality, and strong customer service skills are essential.

Second client: Electric Company

Key responsibilities:

  • Grant research and execution
  • Donation letters/logging donations
  • Transposing documents
  • Meeting minutes
  • Follow-ups and emails
  • Email donors
  • Research potential corporate donors and getting donations
