About the Role:
We are looking for a Intake Scheduler/Coordinator to be the first point of contact for individuals seeking support from our health, wellness, and rehab center. This role is critical in ensuring a smooth intake process for new clients by handling calls, scheduling appointments, and managing intake paperwork.
The ideal candidate is professional, empathetic as they will be speaking with patients with past trauma, and highly organized, with strong communication skills to ensure a positive client experience.
Key Responsibilities
- Client Communication:
- Answer and return calls from prospective clients in a timely and professional manner.
- Gather relevant client information and provide basic details about services.
- Ensure all client interactions are handled with empathy and confidentiality.
- Scheduling & Coordination:
- Schedule clients for sessions with counselors based on availability.
- Confirm appointments and provide necessary details regarding sessions.
- Intake Paperwork Management:
- Send intake paperwork to new clients and ensure timely completion.
- Follow up to collect necessary documents before scheduled sessions.
- Maintain accurate records of client intake status.
What We're Looking For
- Experience & Skills:
- Prior experience in a client-facing, administrative, or customer service role (preferably in healthcare or wellness).
- Strong communication skills with a friendly and professional demeanor.
- Ability to handle sensitive client information with discretion.
- Proficiency with scheduling software and email management.
- Personal Attributes:
- Highly organized with strong attention to detail.
- Ability to multitask and prioritize tasks efficiently.
- Compassionate and patient when dealing with client inquiries.
