ABOUT THE ROLE

As our Senior Bookkeeper, your mission is to own each client’s monthly bookkeeping process in QuickBooks Online (QBO) and TaxDome (the firm’s project management software and secure client portal). This includes accurately categorizing transactions, creating journal entries, obtaining bank statements, reconciling accounts, and generating monthly financial statements.

You’ll be the key driver in ensuring timely, accurate bookkeeping and an exceptional client experience. Expect to spend 70% of your time on bookkeeping and accounting tasks, 20% on direct client communication, and 10% on process improvements.

On-Time Monthly Close

  • Complete 100% of assigned clients’ monthly categorization, journal entries, and reconciliations in QBO within 10 business days after month-end.
  • Upload finalized P&L and Balance Sheet reports to TaxDome using correct naming conventions by the same 10-day deadline.

Accurate Transaction Categorization

  • Achieve 98% accuracy in categorizing transactions (correct vendor/payee, chart of accounts, and shareholder distributions/contributions) as verified by internal review or client feedback.
  • Limit recategorization to 2% or fewer of monthly transactions.
  • Minimize unnecessary client inquiries by leveraging historical data, vendor details, and existing records.
  • Review Client Accountable Plans each month; address issues promptly with clients and record related journal entries in every close cycle.

Effective Open-Item Resolution & Client Communication

  • Consolidate all missing statements, data, or clarifications into one client communication each month.
  • Resolve 100% of open items within 2 business days after clients respond.
  • Respond to all client bookkeeping inquiries within 2 business days, clearly documenting follow-up steps.
  • Always check the “Notes” and “Communication” tabs in TaxDome to avoid duplicate requests.

Complete & Timely Bank Reconciliations

  • Reconcile 100% of client bank, credit card, and loan accounts by the 10-day monthly close deadline.
  • Ensure there are zero unmatched or unreconciled transactions older than 30 days (unless pending a client response).

Proactive Internal Communication

  • Immediately flag any potential delays impacting the 10-day close timeline to your team or management.
  • Provide at least two weeks’ notice for planned absences, and communicate unplanned absences as soon as possible.

Ensure W-9 & 1099 Compliance

  • Identify all 1099-eligible transactions; send W-9 requests monthly.
  • Follow up on outstanding W-9s each month to ensure timely collection.
  • Maintain a well-organized W-9 repository.
  • Prepare and issue 1099 forms (NEC/MISC) by the regulatory deadline, documenting them properly for reference.

Consistent Process & Knowledge Improvement

  • Champion at least one meaningful process improvement per quarter (e.g., refining QBO rules, adjusting templates, suggesting tools).
  • Report any knowledge gaps or unclear procedures to management promptly for guidance.

QUALIFICATIONS

  • 3+ years of end-to-end bookkeeping experience for U.S. small businesses (not large companies with separate A/R, A/P, or payroll departments). You’ll communicate directly with firm owners and be responsible for the entire P&L and Balance Sheet.
  • Track record of meeting monthly close deadlines (within 10 business days) and reconciling multiple accounts accurately in QuickBooks Online (QBO).
  • Bachelor’s degree in Accounting (or equivalent experience).
  • Strong knowledge of accounting principles (debits/credits, P&L, Balance Sheet) and compliance requirements (W-9, 1099, etc.).
  • Excellent communication skills (written and verbal) with direct client interaction experience; able to consolidate and resolve open items promptly.
  • Tech-savvy: Proficient in QBO, Loom/Zoom, TaxDome (the firm’s project management software), and comfortable learning new tools. Training will be provided for TaxDome software.
  • Highly organized: Consistently meets deadlines, balances multiple priorities, and maintains detailed records for all client files.
