The Role

The Accounts Payable Manager leads the accounts payable team and is responsible for overseeing all aspects of the company’s AP functions. This includes managing the invoice approval process, ensuring timely payments to vendors, maintaining accurate records, and providing reports to senior management. The role requires strong organizational skills, attention to detail, and an understanding of accounting principles.

Key Responsibilities

Accounts Payable Team Management:

  • Supervise and motivate the Accounts Payable team to meet performance targets.
  • Provide training and guidance to the team on best practices in accounts payable.
  • Review and assess the workload of the accounts payable department and adjust resources as necessary.

Invoice Processing:

  • Oversee the receipt, review, and approval of invoices, ensuring that payments are made in a timely manner while following the company’s policies and procedures.

Payment Processing:

  • Ensure that vendor payments (via credit card, ACH, wire transfers, etc.) are processed according to agreed-upon terms and deadlines.
  • Resolve any disputes that may delay payments and liaise with internal departments to address issues.

Reconciliation:

  • Regularly reconcile accounts payable ledgers and ensure that discrepancies are investigated and resolved.

Vendor Relationship Management

  • Maintain positive relationships with vendors, resolving any payment or invoice issues promptly.

Process Improvement:

  • Continuously evaluate accounting processes and systems to identify opportunities for automation, efficiency, and improvements.

The Requirements

  • Bachelor’s degree in accounting, finance, or related field (or equivalent experience).
  • Proven experience (usually 3-5 years) in accounts payable, with at least 1-2 years in a managerial or supervisory role.
  • Strong knowledge of accounting principles and reconciliation processes.
  • Excellent communication and negotiation skills.
  • Proficiency in accounting software and Excel.
  • Excellent attention to detail, organizational skills, and ability to multitask.
  • Leadership or team management experience is preferred.
  • Familiarity with accounting software and financial reporting tools.
