Operations Coordinator (Legal Ops, Law)
ROLE SUMMARY
Our client is an innovative virtual law and consulting firm specializing in technology transactions, AI, and privacy law. The firm is committed to delivering high-caliber legal services while leveraging cutting-edge technology and streamlined operations. Our client is seeking a highly organized Operations Coordinator with experience in the legal industry to support key business operations. This role is perfect for someone who is highly organized and proactive and who thrives on research, process optimization, and cross-functional coordination. You’ll play a critical role in vendor research, staff management, marketing, and business development operations, training content management, and compliance-related tasks.
The Operations Coordinator will serve as the primary point of contact for non-legal operational matters supporting the company head and her team.
WORK SCHEDULE: 8:00 AM – 5:00 PM Eastern Daylight Time (8:00 PM – 5:00 AM Philippine Standard Time), follows Philippine holidays
POSITION TYPE: Full Time
WORK ARRANGEMENT: Remote
ESSENTIAL FUNCTIONS:
- Perform the following vendor and technology support tasks:
- Research on vendors, tools, and platforms to identify the best solutions for business and legal operations (e.g., AI notetaking tools, marketing platforms, compliance software)
- Present findings on different vendors, tools, and platforms to leadership for informed decision-making, including weighing factors like cybersecurity features, pricing, subscription terms, etc.
- Oversee vendor contracts, negotiations, billing, and expense tracking.
- Assist the team with leveraging technology, software, and tools to improve workflow efficiency in collaboration with the client’s outside IT-managed services provider
- Perform the following marketing operations tasks:
- Support marketing operations by maintaining and updating mailing lists, client trademark usage permissions, ensuring scheduled content (LinkedIn posts, newsletters) is published on time in collaboration with the client’s outside marketing firm
- Conduct legal and compliance research to assist in developing blog articles and marketing content
- Learn and document processes and SOPs for marketing and business development activities, including teaching the team to use software such as MailChimp, HubSpot, etc., and share insights with the team
- Assist in organizing webinars, co-marketing events, and collaborative projects with other small law firms
- Support the company’s strategic growth initiatives related to government and legal training departments:
- Use tools provided by the client’s outside government marketing firm to research and review US government Request for Information (RFIs), and Requests for Proposals (RFPs) to determine alignment with company capabilities
- Assist in preparing and submitting required paperwork for government contract bidding
- Assist management with responding to requests for additional information, documents, etc. in connection with submission of RFI and RFP responses and other interactions with the US government.
- Assist in transforming the company’s legal materials (such as Looms, recorded classes, and documents) into online academy courses
- Perform the following KPI Tracking and team support tasks:
- Serve as an intermediate liaison between the company head and internal/external stakeholders on non-legal matters
- Help track projects and tasks using the firm’s project management software and send reminders to the team on the status of projects and tasks, including reporting head-on late delivery of tasks or incomplete work products to the company
- Measure and track key performance indicators (KPIs) for the team, providing regular reports to management
- Collaborate with the Executive Assistant to support and oversee non-lawyer staff operations
QUALIFICATIONS:
- A Bachelor’s degree in business management, law or related field
- 3+ years of experience in project coordination, legal operations, or a similar role
- Prior experience in the legal industry (law firm, legal services, compliance, or government contracting) preferred, but not required
- Strong research and analytical skills with the ability to synthesize information and present recommendations
- Experience with government contract processes is a bonus, but not required
- Familiarity with marketing platforms (MailChimp, LinkedIn scheduling tools) is a plus
- Excellent organizational and project management skills
- Ability to work autonomously in a remote, fast-paced environment
- Ability to quickly learn new software and document processes
