Who we are looking for:

We are seeking a highly organized, proactive, and detail-oriented Part-Time Executive Assistant to support our Director of Development. This role is ideal for an experienced administrative professional with a background in supporting C-Suite leaders. The Executive Assistant will play a crucial role in managing communications, scheduling, and operational coordination, helping to streamline our development team’s efforts.

What you'll do:

Database Management

  • Maintain and update donor databases to ensure accurate and up-to-date records.
  • Regularly update donor information, including contact details and donation history.
  • Implement data integrity protocols to ensure accuracy and consistency.
  • Generate reports to analyze donor trends and inform strategies.
  • Utilize Copper (CRM), Asana, and Google Suite effectively.

Acknowledgments & Donor Communication

  • Prepare thank-you letters and receipts for donors, ensuring timely and personalized communication.
  • Create customizable templates for various donor segments.
  • Personalize donor acknowledgments with specific details to enhance engagement.
  • Establish a schedule to ensure acknowledgments are sent promptly.
  • Maintain logs of all communications for reference and tracking.

Administrative & Operational Support

  • Calendar Management: Coordinate meetings and events for the Director of Development and the development team.
  • Document Preparation: Draft and format correspondence, reports, and presentations.
  • Office Coordination: Work with the Stewardship and Events Manager to manage supplies and liaise with vendors.
  • Task Tracking: Utilize Asana and Google Suite to monitor progress on initiatives.
  • Research: Conduct research on potential donors and funding opportunities under the direction of the Director of Development.

Requirements

What you'll need:

  • Experience with Asana for task tracking and project management.
  • Experience managing and maintaining CRM systems, such as Copper or HubSpot.
  • Previous experience as an Executive Assistant, Development Coordinator, or Administrative Manager.
  • Strong written and verbal communication skills; ability to draft professional emails and correspondence.
  • Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.
  • Proficiency in scheduling tools, email management, and project tracking software.
  • Experience managing donor relations, event coordination, or fundraising support is a plus.
