We are currently seeking a highly organized and detail-oriented Executive Assistant to provide comprehensive support to our executive team. We seek someone who is ambitious, adaptable, and energized by entrepreneurship and climate solutions. You will play a crucial role in streamlining executive operations, facilitating effective communication, and fostering strong relationships with internal and external stakeholders. The executive assistant is expected to self-manage tasks in an appropriate manner and ask for assistance when needed. We are a driven, entrepreneurial organization which means everyone is expected to “wear many hats” and contribute across several areas.

Responsibilities:

  • Executive Support: Provide direct administrative support to the executive team, including calendar management, travel arrangements, high-level meeting preparation, and meeting coordination.
  • Email Management: Manage and organize executive email inboxes, ensuring timely and efficient communication.
  • CRM Organization: Maintain and update the Customer Relationship Management (CRM) system, ensuring accurate data entry and effective contact management.
  • Event Planning: Assist in the planning and execution of events, including workshops, conferences, and meetings.
  • Partner Coordination: Liaise with partner organizations, maintaining strong relationships and facilitating effective communication.
  • Task Management: Track and manage executive tasks, ensuring deadlines are met and priorities are addressed.
  • Communication Materials: Assist in the development of presentations, reports, and other communication materials.
  • Outreach Support: Provide support for outreach initiatives, including social media engagement and stakeholder communication.
  • Financial: Review and approve basic expenditures and financial requests, support the preparation for audits and tax filings

Qualifications:

  • Over 5 years of experience working as an Executive Assistant, managing multiple clients.
  • Exceptional organizational and time-management skills.
  • Strong interpersonal and communication skills, both written and oral.
  • Comfortable working with web tools such as Slack, Asana, Streak (CRM), Mailchimp, Notion.
  • Ability to work independently and as part of a team.
  • Can start ASAP

Work Schedule: Tue - Sat, 1am - 10am / 12am - 9am (Manila time)

Work Setup: Home-based (must have at least 20mbps for both download and upload speed)
