Overview
The Contracts Coordinator will assist in supporting the Contracts Manager in activities for our clients from EOI to Contracts Executed.
They will assist in the delivery and execution of administrative and support activities in relation to establishing the client file, drafting client communication and ensuring data integrity on Salesforce.
Responsibilities
- EOI Submission: Reviewing the EOI, creating the client record in Salesforce, creating the Client Folder in Google Drive and drafting the EOI to Distributor email for approval and sending by the Contracts Officer.
- Chasing Suppliers for Contracts: Sending emails to suppliers to follow up on contracts to ensure we are receiving them in line with business timeframes.
- Reviewing Contracts: Supporting the Contracts Manager in reviewing contract documentation.
- Preparing the Contracts Email for the Client: Draft the contracts email for the clients and advise the Contracts Officer to approve and send.
- Chasing for executed contracts: Review the contracts signed but not executed report and chase up land agents or builders for copies of executed contracts to file and send to brokers/solicitors.
- Daily meeting with the Contracts Manager to review the Contracts Open Dashboard and outline priorities for the day or roadblocks from the day prior
- Reviewing and processing EOIs
- Preparing contracts emails to send to clients
- Finance, settlement or construction terms to Salesforce should any executed contracts come through
- Checking for valuation access
- Chasing executed contracts
Qualifications
- Proven work experience in a Contracts Team Assistant or a similar role.
- Exceptional customer service skills.
- Ability to multitask and manage time effectively.
- Strong problem-solving abilities.
- Excellent written and verbal communication skills.
- Good understanding of project management principles.
- Proficiency in MS Office and customer service software.
- Bachelor’s degree in business administration or a related field.
