Responsibilities:

Outreach & Lead Engagement:

  • Follow up with inbound and warm leads; track responses and drive qualified calls.
  • Manage inboxes for outreach communication and ensure nothing falls through the cracks.

Email & Calendar Management:

  • Send high-volume, personalized outreach emails to prospects across multiple project funnels.
  • Organize and track communication across email, LinkedIn, and Instagram using a CRM (primarily GoHighLevel).
  • Draft follow-up messages and manage all lead interactions in a clear, timely, and professional tone.
  • Book and manage appointments resulting from outreach (sales calls, vendor meetings, etc.).
  • Maintain a clean, well-structured calendar aligned with outreach goals.
  • Coordinate meeting logistics and ensure all scheduled calls are updated in the system.

CRM & Dashboard Management:

  • Use GoHighLevel to input and update leads, tag contacts by project, and track deal status.
  • Maintain clean dashboards with clear data on outreach metrics, conversions, and campaign performance.
  • Generate daily and weekly reports summarizing activity, outcomes, and areas for improvement.

Social Media Management:

  • Schedule and publish content across LinkedIn and Instagram.
  • Respond to DMs and comments, especially where engagement can lead to sales.
  • Align social activity with sales campaigns and track ROI from content-driven leads.

Research & Lead Sourcing:

  • Conduct opportunity research to identify “lookalike” clients and aligned prospects.
  • Perform light competitor, market, or event research based on project priorities.
  • Present findings with actionable recommendations and clear context for outreach planning.

SOP Creation & Process Documentation:

  • Translate workflows and task instructions into structured SOPs or internal playbooks.
  • Improve existing documentation to reflect real-time innovations or system updates.
  • Leverage AI tools (e.g., ChatGPT) and productivity platforms to streamline documentation.

Project Management – Sales Outreach Focus:

  • Track performance goals: e.g., 100 outreach messages/day, 500/week.
  • Maintain outreach progress reports, engagement data, and outcomes in CRM dashboards.
  • Support reporting and optimization of sales funnel activities over time.

Customer Service Communication:

  • Apply strong communication sequence etiquette when speaking to leads and clients.
  • Respond with professionalism, persistence, and a results-oriented mindset.
  • Maintain warmth and clarity across all outreach responses.

Vendor & Internal Coordination:

  • Manage follow-ups and routing of messages between leads, vendors, and internal stakeholders.
  • Serve as the traffic controller for incoming requests, ensuring each is directed to the right person or team.

Qualifications:

  • 3–5 years experience in administrative or executive assistance roles, preferably in a remote or virtual setting.
  • Excellent written and verbal communication skills—you must be able to professionally and clearly correspond with both internal teams and external contacts.
  • Prior experience with CRM systems is required (GHL preferred; HubSpot, Salesforce, or any other CRM tools are also acceptable).
  • Strong organizational and multitasking ability—capable of managing multiple conversations, follow-ups, and assignments without losing track of priorities.
  • Proven ability to manage projects independently and handle other miscellaneous projects as needed
  • Ability to work independently, take initiative, and contribute to improving systems and processes (e.g., updating or streamlining SOPs)
  • Detail-oriented and proactive—notices gaps, follows up without prompting, and ensures information or deliverables reach the right person.
  • Process-driven mindset—able to identify, follow, and improve systems for task routing and communication handoffs.
  • Ability to serve as a “traffic controller”—triaging and assigning incoming tasks or requests to the appropriate person or team, with a sense of urgency and accountability.
