DUTIES AND RESPONSIBILITIES
- Manage Inboxes: Monitor and organize emails to ensure all tasks are addressed, including entering transactions into QuickBooks Online (QBO), responding to client inquiries, and completing action items promptly and accurately.
- Direct Written Client Communication: Respond promptly and professionally to client inquiries, ensuring clear, friendly, and helpful communication.
- Multi-Client Workload: Manage the financial accounts of 10-12 assigned clients, providing and implementing solutions to any errors or omissions.
- Maintain Files: Organize and maintain digital accounting records, ensuring documents are accurately categorized, easily accessible, and securely stored.
- Bank & Credit Card Reconciliation: Reconcile company bank and credit card statements with QuickBooks, identifying and resolving discrepancies.
- Accounts Receivable Reconciliation (AR Rec): Ensure customer payments match outstanding invoices or payment processor systems, and resolve any discrepancies.
- Bill Payment (Bill Pay): Process vendor invoices, schedule payments, and ensure timely and accurate classification of expenses.
- Distinguish between paid receipts and unpaid bills to ensure accurate bill payments and prevent underpayment or overpayment to vendors.
- Transaction Recording: Accurately enter daily financial transactions into the accounting system, ensuring proper categorization.
- Data Analysis: Analyze large reports from various sources to extract key insights and create accurate journal entries based on the information.
- W9/1099 Filings: Collect W9 forms from contractors, ensure compliance, and prepare and file 1099 forms with the IRS.
- Accrued Inventory: Record received but unbilled inventory and adjust financial reports to reflect accurate inventory values.
- Other ad-hoc tasks as needed and requested by the client.
PROFESSIONAL DEVELOPMENT OBJECTIVES
- Prepare Financial Statements: Gain the expertise to independently prepare, review, and analyze monthly financial statements, ensuring accuracy, compliance with accounting standards, and delivering valuable insights to clients.’

- Collaborate with clients to understand their financial goals and challenges, offering strategic recommendations to improve financial performance.

QUALIFICATIONS
- Must be a Certified Public Accountant
- 5 years US accounting (firm) experience
- Proficiency in QBO, Google Drive, Slack,
- Preferred but not required: Clockify, 1Password, Asana, Ramp, Bill.com, Gusto, Loom, ChatGPT, and Gemini
- Excellent verbal and written communication skills for interacting with clients and team members
- Attention to detail and accuracy in bookkeeping
- Ability to work independently with minimal supervision
- Proactive problem-solving approach
