About The Role

As an Accounting Admin you are responsible for managing personalized client correspondence and handling the packing and distribution of tax returns for individuals and groups. Additionally, you will oversee engagement processes, client onboarding, liaison with regulatory bodies like the Australian Taxation Office and ASIC, manage accounts payable and receivable, coordinate office communications, and ensure smooth office operations including reception management and guest services.

Responsibilities

  • Send out tax pack to clients and drafting cover letters using existing templates
  • Pack all tax returns and BAS via PlsSign and send them to clients for their signature
  • Packing and sending tax returns for individuals and larger groups.
  • Engagement, new client onboarding, and ethical clearance processes.
  • Liaison with the Australian Taxation Office, ASIC, and other third parties.
  • Check daily clients email (notice of assessment etc ) and liaise with clients and our accountants in the office.
  • Check ATO correspondences ( ATO Portal, ATO calls, remission of GIC, payment plans etc )
  • Handle ASIC-related tasks (ASIC Annual Returns and ASIC Incorporations) and other corporate secretarial responsibilities: ( company setup and deregister etc)
  • ABN GST TFN registration and cancellation
  • Maintaining the portal lodgement system
  • Use Xero to do bills, invoices , purchase orders to our clients and use Xero practice manager to convert working timesheets into billings.
  • Assist with accounts payable and receivable, including applying statements and setting up payment plans.
  • Answering and directing voice calls and emails.
  • Manage the reception area and supervise the maintenance of office areas and equipment.
  • Provide office guests with a hospitable experience.
  • Being the main point of contact of the company.

Competencies And Qualifications

Must-Have

  • At Least 2-5 years of experience as an Accounting Admin
  • Preferably with experience working in an Australian Accounting Firm
  • Proficient in effectively liaising and communicating with colleagues, clients, and external stakeholders.
  • Capable of providing support to existing administrative and accounting personnel by managing work distribution to clients and monitoring client email communications.
  • Proficiency in efficiently managing tax return packaging for individuals and groups, maintaining mail systems, and overseeing office maintenance and equipment.
  • Proficiency in the English language, both written and verbal communication.

  • Proficiency in managing and overseeing the company's financial transactions and cash flows.
