You’ll support both the VP of Sales and VP of Business Development by transforming potential pipeline opportunities into booked stakeholder meetings. Your follow-through is flawless, your communication is proactive, and your judgment is spot-on. Whether you’re scheduling meetings, prepping workshop materials, cleaning up inboxes, or researching a missing contact, you do it with persistence, care, and a sense of purpose.

Key Responsibilities:

Executive & Administrative Support

  • Manage calendars, inboxes, travel logistics, and communications for the VP of Sales and VP of Business Development.
  • Schedule internal and external meetings across multiple time zones, ensuring all parties are aligned and prepared.
  • Prepare materials for meetings, workshops, and conferences — including agendas, presentations, and travel arrangements.
  • Own administrative tasks that keep both VPs focused on strategic work and high-value relationships.
  • Sales Development & Pipeline Coordination
  • Review CRM (HubSpot) regularly to identify follow-ups, schedule stakeholder meetings, and support deal progression.
  • Conduct outreach (email and phone) to connect with decision-makers and schedule discovery or follow-up meetings.
  • Research schools and districts to find missing contacts or key stakeholders and update CRM records accordingly.
  • Track touchpoints, update notes, assign tasks, and ensure CRM records are accurate, current, and visible across teams.
  • Project & Meeting Management
  • Collaborate with sales, marketing, and operations to align outreach strategies and ensure consistent follow-through.
  • Support preparation of meeting briefs and follow-up communications to keep momentum going after conversation
  • Maintain recurring check-ins, project timelines, and internal accountability touchpoints to keep work moving forward.
  • Technology & Tools
  • Leverage tools like Google Workspace, HubSpot CRM, scheduling platforms, project management tools, and AI-based systems to streamline work and enhance team productivity.

Requirements:

  • Proven experience as an Executive Assistant, Sales Coordinator, or similar support role in a fast-paced, collaborative environment.
  • Excellent organizational skills, attention to detail, and ability to juggle multiple priorities without missing a beat.
  • Strong communication skills — clear, professional, and confident when reaching out to stakeholders or navigating competing demands.
  • Experience using CRM tools (HubSpot preferred), Google Workspace, and other digital productivity platforms.
  • A proactive, self-starting mindset — you’re someone who sees what needs to be done and makes it happen.
  • Ability to shift between internal team coordination and client-facing communication with ease and professionalism.
  • Comfort with research, outreach, and appointment setting — you’re not afraid to dig in, follow up, and close the loop.
