Job Description

As a Virtual Legal Assistant, you’ll play a pivotal role in streamlining client communications and office operations for a dynamic law firm.   • Efficiently manage scheduling and rescheduling for both potential and existing clients, ensuring smooth operation of the firm’s calendar
  • Conduct comprehensive client intake procedures, including sending questionnaires and following up to ensure completion
  • Coordinate virtual meetings by sending Zoom links and payment links to clients, facilitating seamless remote consultations
  • Organize and manage emails, ensuring proper filing within the firm’s case management system
  • Assist in maintaining and updating the firm’s website, contributing to its online presence and client outreach efforts
  • Handle a variety of administrative tasks, adapting to the evolving needs of a busy law practice
  • Collaborate with the legal team to improve office processes and enhance client service

Requirements

  • Previous experience working in a law firm or legal environment, with a solid understanding of legal terminology and processes
  • Proficiency with Mac/Apple computers and Google Voice, demonstrating adaptability to various technology platforms
  • Excellent communication skills with a clear speaking voice, capable of effectively interacting with a diverse client base, including elderly individuals
  • Availability to work Pacific Time zone hours, typically between 9 AM to 4 PM or 5 PM
  • Familiarity with case management and billing software; experience with Bill4Time is a plus
  • Strong organizational skills and the ability to multitask efficiently in a fast-paced environment
  • Comfort with video conferencing tools and willingness to participate in regular virtual check-ins and training sessions
  • Self-motivated with the ability to work independently while also being a collaborative team player
  • Attention to detail and commitment to maintaining client confidentiality
  • Enthusiasm for learning and growing within the role, with the potential to take on increased responsibilities over time
