Location: Clark, Pampanga

Shift: Monday to Friday, 7:00 AM to 4:00 PM PH Time

Arrangement: Onsite, Full Time

About this role…

We are seeking a highly organized and detail-oriented Administrative Assistant with a strong background in both administration and bookkeeping. This role requires a high level of communication and time management skills, and the ability to work independently with minimal supervision. The successful candidate will be proficient in various software systems and will play a key role in managing office systems, financial reporting, and client onboarding processes.

Key Responsibilities:

Administration & Office Management:

  • Develop and maintain office systems, including data management and filing.
  • Provide general administrative support to team members, including managing invoices, expenses, and billing.
  • Handle basic bookkeeping tasks such as invoicing, processing staff expenses, and billing.
  • File and retrieve corporate records, documents, and reports as required.
  • Assist with meeting preparations, including handling meeting minutes when required.

Bookkeeping & Financial Reporting:

  • Collate financial and tax reports.
  • Manage lodgements of BAS, IAS, and other relevant compliance works.
  • Provide ATO and ASIC correspondence in response to inquiries.

Client & Enquiry Management:

  • Manage the client onboarding journey, including workflow and communications.
  • Handle and screen enquiries and requests, assigning them to the appropriate team members.
  • Deal with incoming emails and messages, ensuring timely and appropriate responses.

Systems & Software Utilization:

  • Utilize and manage systems including Xero, Microsoft Office 365, Dext, Karbon Workflow Management Software, or similar.
  • Update and maintain workflows, ensuring efficient office operations.

Scheduling & Communication:

  • Organize meetings and manage workflow overviews.
  • Prepare reports, emails, and other relevant documentation.
  • Research, Marketing, & Social Media:
  • Handle tasks related to research, marketing, and social media management as needed.

Qualifications:

  • Minimum 2+ years of experience as an administrative assistant, with preference for Australian experience.
  • Minimum 2+ years of experience in bookkeeping, with preference for Australian experience.
  • High level of attention to detail and accuracy.
  • Strong communication skills, both written and verbal.
  • Excellent time management and organizational skills.
  • Proficiency in process management.
  • Ability to work independently with minimal supervision.
  • Experience with systems such as Xero, Microsoft Office 365, Dext, Karbon Workflow Management Software, or similar.

Desirable Skills:

  • Knowledge of Australian tax and compliance requirements.
  • Familiarity with client onboarding processes and workflow management.
