Job Description:

The Accounting Assistant will work under the supervision of the Finance Manager and play a key role in supporting the daily accounting functions in compliance with generally accepted accounting principles (GAAP). The ideal candidate will assist in maintaining accurate financial records, reconciling accounts, and providing timely support to internal and external stakeholders. This position requires a high degree of accuracy, attention to detail, and the ability to work efficiently under tight deadlines.

Key Responsibilities:

Accounts Payable (AP):

  • Enter vendor invoices and ensure timely processing for payment.
  • Record expenses from company Credit/Debit cards.
  • Verify invoice accuracy, ensure proper documentation, and maintain organized records of transactions.

Accounts Receivable (AR):

  • Process customer invoices, payments, and deposits.
  • Generate customer statements and send reminder invoices when necessary.
  • Monitor and follow up on any past-due accounts to ensure prompt payment.
  • Work closely with clients to resolve billing issues and discrepancies.

Bank and Credit Card Reconciliation:

  • Regularly reconcile bank accounts and credit card statements to ensure accuracy and resolve discrepancies.
  • Monitor for any unauthorized transactions and report them to the Finance Manager promptly.

Financial Reporting:

  • Assist in generating periodic financial reports and analysis as required by management.
  • Provide support during internal and external audits by preparing required documents and reports.

Special Projects:

  • Collaborate on special accounting or finance-related projects assigned from other brands or departments.
  • Provide administrative support for financial initiatives or corporate events, as necessary.

Critical Competencies / Qualifications:

Education:

  • Diploma or certificate in Accounting or Finance. A relevant degree would be an asset.

Technical Skills:

  • Strong analytical skills with high proficiency in MS Office, especially Excel, Word, and Outlook.
  • Familiarity with accounting software such as QuickBooks, Xero, or similar platforms is preferred.

Communication Skills:

  • Excellent written and verbal communication abilities.
  • Able to clearly communicate financial information to non-financial stakeholders.

Problem-Solving:

  • Strong problem-solving abilities with a diplomatic approach to handling sensitive issues.
  • Capable of making viable recommendations for process improvements and financial controls.

Teamwork and Collaboration:

  • Ability to collaborate effectively with all levels of staff, from entry-level employees to executives and franchisees.
  • Willingness to work in a fast-paced, dynamic environment while maintaining a positive attitude.

Attention to Detail:

  • High level of accuracy in all tasks, especially when processing invoices and reconciling accounts.

Time Management:

  • Ability to manage multiple tasks and meet deadlines without compromising accuracy or quality.
