The Role

We are seeking a highly organized and detail-oriented Executive Assistant to join our team. The ideal candidate will be responsible for handling payroll, remittance, managing email/inbox, and maintaining an appointment/therapist tracker. This role requires excellent communication skills, a proactive approach, and the ability to manage multiple tasks efficiently.

Qualifications

  • Proven experience as an Executive Assistant or in a similar administrative role.
  • Experience with Xero for financial reconciliation.
  • Marketing experience, particularly on social media platforms.
  • Proficiency in Premiere Pro for video editing.
  • Familiarity with the backend of WIX for website management.
  • Excellent written and verbal communication skills.
  • Ability to conduct cold outreach and build professional relationships.
  • Strong organizational and time-management skills.
  • High level of initiative and ability to think outside the box.
  • Experience in writing podcast posts and descriptions.
  • Proficiency in appointment setting and calendar management.
  • Ability to work independently and solve problems effectively

Responsibilities

  • Payroll- matching timesheets with cliniko, issuing invoices.
  • Instant reply of email (within 5 minutes in business hours)
  • Data entry using outlook- excel and google workspace.
  • Prepare and process remittances for various payments and maintain records of all remittance activities and prepare reports as needed.
  • Manage and organize the executive’s email inbox, ensuring timely responses and prioritizing urgent matters.
  • Filter and categorize emails, flagging important messages for the executive’s attention.
  • Schedule and coordinate appointments for the executive and therapists.
  • Maintain an up-to-date tracker for all appointments and ensure timely reminders.
  • Coordinate with therapists to manage their schedules and availability.
