Role Description

Accisystems is seeking a contract, remote Executive Administrative Assistant Manager. This role involves providing high-level administrative support to executives, managing office operations, overseeing communications, and assisting with legal, business, and marketing-related tasks. The ideal candidate will have a strong background in business administration and legal support.

Key Responsibilities:
  • Provide executive-level administrative support to leadership.
  • Manage day-to-day office operations, including scheduling, communications, and task delegation.
  • Draft and review legal documents, memos, and correspondence as required.
  • Conduct legal research to support firm operations and executive decision-making.
  • Manage CRM systems, ensuring accurate data entry and client follow-up.
  • Handle phone communications, including answering calls, scheduling appointments, and addressing inquiries.
  • Support marketing and communication efforts, including managing email campaigns and creating marketing materials.
  • Ensure confidentiality in handling sensitive information and maintain professional discretion.
  • Coordinate with other departments to ensure smooth operations.
Qualifications:
  • Proficient in English (B2 minimum): Strong verbal and written communication skills in English are required.
  • Law Degree Preferred: A law degree or equivalent legal education is highly desirable.
  • Business Administration Experience: Proven experience in administrative roles, with a focus on office management and executive support.
  • Legal Drafting and Research: Experience drafting legal documents and conducting legal research.
  • CRM Experience: Proficient in using CRM systems to manage client interactions and follow-ups.
  • Marketing and Communications: Experience in creating marketing materials and managing business communications.
  • Technical Proficiency: Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management tools.
  • Excellent Organizational Skills: Ability to multitask, prioritize, and manage time efficiently.
  • Professionalism and Confidentiality: Maintain a high level of professionalism and discretion with sensitive information.
Additional Qualifications:
  • Strong Phone Etiquette: Comfortable managing phone communications with clients and executives.
  • Clerical Skills: Knowledge of basic office tasks such as filing, organizing, and document handling.
  • Basic Accounting Principles (preferred but not required): Familiarity with financial processes such as invoicing and budgeting.
