Job Overview:

We are looking for a highly organized, professional, and detail-oriented Virtual Assistant to join our growing team. This role is crucial in ensuring smooth operations within our agency. You will be responsible for handling client communication, overseeing quality control of video edits, managing the onboarding process, keeping the ClickUp dashboard up to date, and more. The ideal candidate is proactive, has excellent communication skills, and can take initiative to manage both clients and internal teams. You will be trained on any software or lingo you do not understand of course.

Responsibilities:

- Client Communication: Handle all client communication in a highly professional manner, ensuring questions are answered and expectations are managed.
- Quality Control: Review video edits before they are sent to the client, ensuring there are no spelling mistakes, incorrect cuts, or issues with the final product. Will train you if needed
- Onboarding: Manage the onboarding process for new clients and employees, ensuring all paperwork, processes, and systems are set up and running smoothly. You will be trained in this of course.
- Calendar Management: Help manage my calendar, scheduling and organizing meetings, keeping track of deadlines and appointments.
- ClickUp Management: Ensure the ClickUp project management dashboard is always up to date, with tasks assigned and tracked, and deadlines are being met.
- Team Management: Assist in managing the team, keeping everyone on task, providing updates, and helping with team coordination.
- Meeting Assistance: Be present on most of my calls to take notes, record meetings, and manage and distribute assets after the call.
- General Assistance: Help with any other tasks that arise, ensuring the smooth operation of the agency.

Requirements:

- Proven experience as a Virtual Assistant or in a similar role
- Perfect English communication skills (both written and verbal)
- Strong organizational and multitasking abilities
- Experience with project management tools (preferably ClickUp, or similar platforms like Asana, Trello, etc.) not 100% needed as I can train you in this
- Detail-oriented with the ability to perform quality control on client work
- Ability to manage client expectations and communicate effectively
- Familiarity with calendar management and scheduling tools (Google Calendar, G-Suite, etc.)
- Reliable internet connection and the ability to work independently
- Proficiency in using productivity tools such as Google Workspace (Docs, Sheets, Gmail, etc.)

Bonus Skills (Not Required):

Experience in managing creative teams, especially video editors
Experience with other project management software and tools
