Job Title: Onboarding Coordinator (P2)

Job Summary

The Onboarding Coordinator plays an integral role in providing a positive and organized onboarding experience for new hires from offer acceptance through to their first day. Reporting to the Head of Talent, this role is a peer to the Recruiting Coordinator, ensuring consistency and collaboration across hiring and onboarding activities. The Onboarding Coordinator manages logistics, documentation, and engagement efforts, collaborating with various teams to create a welcoming experience for new employees.

Job Responsibilities

  • Offer Management and Pre-Start Communication (40%)
    • Coordinate and manage all post-offer activities, including sending official offer documentation, completing pre-employment verifications and background checks, and addressing candidate questions prior to their first day.
    • Maintain proactive communication with new hires to provide relevant information, answer questions, and foster engagement before their first day.
    • Act as the point of contact for new hires between offer acceptance and their first day, ensuring a high level of engagement and a seamless transition into the company.
  • Onboarding Preparation and Documentation (30%)
    • Collaborate with internal teams, including IT, Fleet, and Procurement, to ensure all equipment and resources are ready for new hires before their start date.
    • Disseminate onboarding schedules, orientation agendas, and training plans tailored to each new hire’s role.
    • Ensure all necessary pre-employment paperwork, including agreements, tax forms, and benefit enrollment forms, are completed accurately and in a timely manner.


  • Collaboration and Process Improvement (20%)
    • Work closely with the Recruiting Coordinator to ensure a consistent handoff from recruitment to onboarding, aligning on all key details about the new hire.
    • Collaborate with hiring managers to develop personalized onboarding plans that align with department goals and team culture.
    • Continuously assess the onboarding process, gathering feedback from new hires and internal stakeholders to make improvements and optimize the onboarding experience.
    • Support the Recruiter and Recruiting Coordinator as needed.


  • Metrics and Reporting (10%)
    • Track onboarding metrics, such as completion of onboarding tasks, new hire satisfaction, and readiness for Day 1.
    • Provide regular reports on onboarding progress and metrics to the Head of Talent, highlighting areas for improvement.
    • Utilize data to ensure onboarding consistency and effectiveness, and to drive enhancements to the onboarding experience.
Skills And Qualifications

  • Education
    • Bachelor’s degree in Human Resources, Business Administration, or a related field preferred. Equivalent professional experience may be considered in lieu of a degree.


  • Experience
    • Minimum of 1 year of experience in a support or coordinator role in human resources or recruitment, ideally with a focus on creating an exceptional new hire experience and managing relationships.
    • Experience collaborating closely with a Recruiter or HR professional to align onboarding activities with recruitment and hiring goals.
    • Proven track record of managing multiple processes and coordinating logistics to ensure a smooth transition for new hires.
    • Experience working in a fast-paced environment, managing multiple open roles simultaneously, and meeting recruitment deadlines.


  • Technical Skills
    • Proficiency with Applicant Tracking Systems (ATS); experience with UKG Pro is preferred but not required.
    • Strong organizational skills with the ability to manage and prioritize multiple tasks effectively.
    • Familiarity with virtual onboarding tools, video conferencing software, and digital document management.


  • Soft Skills
    • Excellent interpersonal and communication skills, with the ability to build rapport with new hires, hiring managers, and internal stakeholders.
    • Highly organized, detail-oriented, and capable of managing multiple onboarding tasks concurrently while maintaining accuracy and quality.
    • A proactive approach to solving challenges and continuously improving onboarding processes.
    • Team-oriented, with a collaborative attitude towards working alongside the Recruiting Coordinator, hiring managers, and the People Experience team.
    • Adaptable and eager to innovate, especially in improving onboarding processes to support a diverse and growing workforce.
