Job Summary:

The Office and Media Planning Assistant will play a dual role in managing day-to-day office operations for the Corporate Communications Unit while also overseeing media planning and execution. This position is responsible for ensuring efficient administrative support, contract negotiations, media procurement, and the seamless coordination of media activities. The ideal candidate is highly organized, adaptable, and capable of managing both operational and media planning tasks at an assistant manager level.

Key Responsibilities:

Office Management:

  • Oversee the daily operations of the Corporate Communications Unit, ensuring smooth workflow and office efficiency.
  • Manage schedules, meetings, and communications for the team.
  • Handle internal documentation, filing, and preparation of reports and presentations.
  • Prepare and distribute minutes of meetings, ensuring timely follow-ups on key action items.
  • Coordinate with internal and external stakeholders to facilitate communications and operational support.

Media Planning & Execution:

  • Lead contract negotiations with media partners, securing favorable terms and ensuring cost-effective media buys.
  • Manage media procurement processes and ensure compliance with company policies.
  • Monitor and track media placements, advertisements, and PR activities to align with campaign objectives.
  • Collaborate with business segments to understand media needs and provide strategic insights for media buys.
  • Work closely with the creative team to ensure that correct ad materials are used in all media placements.

Performance Reporting & Analysis:

  • Prepare and analyze monthly media performance reports, including ad placements, PR activities, and media values.
  • Provide actionable insights and recommendations to optimize media buying strategies.
  • Present findings and strategic recommendations to senior management.

Vendor & Stakeholder Management:

  • Build and maintain strong relationships with media partners, ensuring the effective execution of media buys and adherence to contracts.
  • Act as the liaison between corporate communications, project marketing, and other departments to ensure aligned strategies and operations.

Qualifications:

  • Bachelor’s degree in Marketing, Communications, Business Management, or a related field.
  • 3-5 years of experience in office management, media planning, or a related role.
  • Strong experience in contract negotiation, media tracking, and office administration.
  • Excellent organizational and leadership skills, with the ability to manage multiple responsibilities across different functions.
  • Strong communication and interpersonal skills.
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint).
  • Strong analytical skills, with the ability to interpret media performance data and optimize strategies.
