As a Core Services, you will:
Responsibilities
Core Services is responsible for the accurate data entry, payroll and invoicing for our customers and workers by taking responsibility for the following:
- Configuration of customer records, employment records and contracts in our systems.
- Maintaining and updating system records. This includes, but is not limited to, extending contracts, updating worker information, updating contract information. These records directly impact the invoicing and payroll processing for our customers and workers, so data accuracy is integral.
- Follow up of missing documentation or data
- Entry, upload and interpretation of paper-based timesheets or bulk reports into our systems.
- Entry, upload and understanding of reimbursable expenses for correct handling and compliance
- Generating and distributing individual and consolidated invoices, uploading into external portals, issuing credit notes, purchase order or billing reference management, changes to invoicing contacts and related queries.
- Generate any required client reporting and internal service invoices as part of the weekly margin and CSV process plus assist with any ad hoc reporting needs that may occur.
- Allocation of funds to client invoices and accounts; ensuring all transactions are accurately reflected
- Follow up of unallocated payments
- Reviewing and responding to service requests, following internal workflows and utilising work management systems to action requests
- Respond to queries from customers and workers, which may involve answering phone calls.
- Monitoring and correctly assigning service tickets
- Participate in training sessions, team or businesswide projects, and/or systems testing, as directed by Core Services Manager
- Ensure process, procedure and training documentation is kept up to date or continually improved
- Actively engage cross-functionally with other teams to provide guidance on service requirements and best practices whilst ensuring compliance with legislation and regulations
Non-negotiables
- Experience working in a data entry, document control or administration environment.
- Proven track record with attention to detail and accuracy.
- Customer service experience using multiple communication channels, such as email and telephone.
- Ability to quickly learn new systems and bespoke software.
- Intermediate computer skills, and experience with G Suite and Microsoft Office Suite (proficiency in Excel and/or Google Sheets highly desirable).
- Experience dealing with different internal and external stakeholders and multiple communication channels.
- Dedication to continuous learning in a fast-paced environment
- Previous experience in payroll, accounts receivable or invoicing
- Tertiary qualification in Business, or certificate in relevant area of study such as Business, Finance etc.
