The Administration Team

What You Will Do

We are seeking a Junior Executive Assistant who will play a crucial role in the evolution of our company culture and interactions across stakeholder groups. This person should be highly motivated and relish the prospect of influencing the internal and external communications strategy of our organisation while fostering a positive and engaging workplace for both shore and sea staff. The individual will also play a part in wider content enablement, events and training.

Reporting directly to the Executive Personal Assistant, your responsibilities will include:

Manage the calendar / diary activity, including the coordination of the travel schedule, business meeting, conference and appointments

  • Manage tidiness of CEO office and storeroom
  • Manage, coordinate, and arrange CEO’s travel and travel-related activities, including hotel booking, transportation, and meal coordination
  • Organize meetings, including scheduling, sending reminders, and organizing catering
  • Manage driver roster and company car arrangement. Arrange company cars renewal and check-up.
  • Coordinate with boat boy, arrange boat license renewal, boat check-up and maintenance.
  • Coordinate in-office lunch/ dinner, and Executives team building
  • Source and purchase items for CEO personal use
  • Assist in Galley Master regular meeting

What We Are Looking For

  • University graduate ideally
  • Years of proven experience in similar or related roles.
  • Excellent written and verbal communication skills in English.
  • Professional discretion

  • Well-developed Time management skills
  • Strong organisational, analytical skills
  • Problem-solving and decision-making ability.
  • Ability to work in a fast-paced environment and adhere to deadlines.

The role includes working from our office in Manila Makati.
