Overview:
We are seeking a highly organized and proactive Recruitment Virtual Assistant (VA) to support our hiring process. The VA will manage applicant databases, coordinate candidate interview schedules, keep hiring managers informed on high-priority candidates, and generate leads through social media and job boards. The ideal candidate is tech-savvy, responsive, and detail-oriented, with experience in recruitment or HR support.
Key Responsibilities:
Database Management:
Organize and maintain the applicant tracking system (ATS) to ensure accurate and up-to-date candidate information.
Track and categorize candidates based on qualifications, job role suitability, and status in the recruitment process.
Generate and share regular reports on applicant statuses and recruitment KPIs.
Interview Scheduling:
Schedule interviews, coordinating availability between candidates and hiring managers.
Send out reminders and confirmations to candidates.
Handle rescheduling requests promptly and professionally.
Communication with Hiring Managers:
Regularly update hiring managers on priority candidates and urgent recruitment needs.
Provide feedback summaries, interview notes, and insights gathered from candidate interactions.
Suggest high-potential candidates for immediate consideration based on manager preferences.
Lead Generation and Sourcing:
Use social media platforms (LinkedIn, Facebook , Twitter ) to source and attract potential candidates.
Post job openings on various job boards and track responses.
Proactively search for qualified candidates on job boards, networking groups, and industry-specific forums.
Applicant Outreach:
Conduct outreach to potential candidates and screen responses to identify interest and qualifications.
Assist in writing and posting job descriptions and engaging with applicants via email or chat.
Support Administrative Recruitment Tasks:
Prepare offer letters, rejection email s, and other communication templates.
Organize and update job listings as required.
Collaborate with other tea m me mbers to ensure smooth operations across all recruitment phases.
Qualifications:
Proven experience as a Virtual Assistant, preferably within recruitment, HR, or administrative support.
Proficiency in using ATS and scheduling software (e.g., Calendly, Google Calendar).
Familiarity with social media recruiting and job boards.
Strong organizational skills with a high level of attention to detail.
Excellent written and verbal communication skills.
Ability to handle sensitive information with confidentiality.
Ability to work in a fast-paced environment and prioritize tasks effectively.
Preferred Skills:
Knowledge of CRM or HR software.
Experience with LinkedIn Recruiter or other professional social networking tools.
Familiarity with lead generation techniques.
