DEFINITION
Under general supervision of the Director of Human Resources, performs a wide variety of confidential clerical and administrative support assignments on behalf of the department, provides direct service to the public, and to performs related other work as required or assigned.
EXAMPLES OF DUTIES
Promptly and appropriately answers telephone calls and responds to electronic correspondence and walk-in inquiries; assists with recruitments as needed; maintains and updates employee personnel files and records and other Human Resources documents on a regular basis; May administer the documentation requirements of the 1986 Immigration and Control Act and processes associated Department of Motor Vehicles and California EDD reports. As assigned, prepares and processes official Human Resources forms such as hourly employee action forms, maintains and updates City-wide Department of Motor Vehicles (DMV) Pull Program files, employee benefits documents, and retiree documents and processes invoices. Receives, distributes, and dispatches intra-office and US mail. Regularly maintains and orders needed office supplies. Processes departmental petty cash reimbursements. Operates a variety of current office machines, including but not limited to computers, printers, typewriters, copiers, adding and facsimile machines.
Minimum Qualifications
Knowledge of: Office machines and equipment including computers; computer software PC based word processing and spreadsheet applications (e.g., Microsoft Word and Microsoft Excel); appropriate English grammar, spelling, and current business formats; modern office equipment and methods including operation of personal computers, filing and recordkeeping practices and basic arithmetic.
Ability to: Communicate effectively both orally and in writing; follow written and oral instructions; take accurate messages, produce accurate work and provide appropriate information and referral. Establish and maintain cordial, effective working relations with general public, co-workers and other City personnel and provide excellent internal and external customer service; handle confidential information with good judgment, etc.; work harmoniously with respective staff; interacts positively and cooperate with co-workers, responds politely to customers, works as a team member, functions under demanding time pressure, responds in a positive manner to supervision, attends work and perform duties on a regular and consistent basis.
Education: Graduation from high school or equivalent. Formal office work training and/or college-level course work desirable.
Experience: Two years of experience in responsible general clerical work that involved regular contact with general public. Human Resources experience desirable.
License: Possession of a valid Class C California Driver's License
