Job Description:
Billing and Invoicing
Prepare and issue invoices to customers in a timely and accurate manner
Address and resolve any billing discrepancies or disputes
Maintain accurate records of all billing transactions
Document Creation:
Generate Purchase Orders, Production Orders, Delivery Orders and/or Collection Notes
Process Contracts where necessary
Verify details such as product descriptions, quantities, prices, address and supplier information
Ensure timely approval and dispatch of documents to other departments/suppliers
Track the status of documents and follow up with other departments/suppliers as necessary
Data Entry and Management:
Accurately key billing data into SAP, ServiceNOW and other related portals
Ensure all entered data is consistent, accurate, and up-to-date
Perform regular audits of data entries to ensure accuracy and completeness
Collaboration and Communication:
Work closely with other departments, Sales, Operations, Projects, Logistics, to ensure seamless operational processes
Communicate effectively with internal and external stakeholders regarding billing, purchases, and data management
Establish strong communication and long-lasting working relationship with suppliers and customers
Others
Ensure all billing, document creations, contract management and data entry activities comply with company policies and regulatory requirements
Provide administrative support to the team when necessary.

Job Requirements:
Candidate must possess at least a Diploma, Advanced/Higher/Graduate Diploma, Bachelor's Degree, Post Graduate Diploma, Professional Degree, any field.
PC literate and familiar with Microsoft 365 Excel and Words
Good command of spoken and written English
Good interpersonal and communication skills to communicate with regional staff in Singapore and Malaysia and customers/vendors
Strong organizational skills in Outlook and paperwork, able to work in a fast pace environment.
Strong time management and prioritization skills
High level of attention to detail and able to demonstrate cross-validation checks and quality controls.
Experience in SAP and/or ServiceNow will be an advantage.
At least 1 year(s) of working experience in related field is required for this position.
