Summary Of The Position

The Administrative Assistant at Genesys, Manila will assist the Facilities Management team on day to day administrative and office support activities across the operations of Genesys Cloud Services Cayman, Ltd – Philippine Branch. Duties will include assistance in Office Administration, Facilities Maintenance and Security, Vendor Coordination, Shipment and Transportation Support, and Liaising with relevant Government Agencies. She/He is also expected to coordinate front-desk activities and be able to deal with emergencies in a timely and effective manner.

This position will report to the Senior Manager, Corporate Services.

Responsibilities

In the role of Administrative Assistant of Corporate Services, the primary responsibilities will include (but are not limited to):

Facilities Maintenance and Security

  • Provides administrative support to facilities team, management, employees and in some cases, clients, and visitors.
  • Assists in managing the outsourced vendors i.e. housekeeping, security and clinic personnel.
  • Monitors and assists in all facilities maintenance activities.
  • Liaises with the building administration on ingress and egress of activities and processing the required permits and passes.
  • Manage the room reservations and utilization system.
  • Maintain office security by following safety procedures and controlling access via the reception desk (e.g. monitor logbook, issue visitor badges),

Procurement & Vendor Coordination

  • Provides support on purchase requests inquiries.
  • Assists in collection of proposals/quotations from vendors and canvassing activities.
  • Assists in managing the end-to-end inventory of office supplies and consumables.
  • Assists in processing of invoice and payment by coordinating to proper departments.

Travel Support

  • Assists in coordinating with the relevant government agencies and/or vendors on travel requirements.
  • Assists stakeholders on travel and hotel and airport transport service bookings as needed.

Office Support & Hospitality

  • Maintain both physical and digital filing systems to ensure accurate record-keeping and easy retrieval of documents.
  • Answer, screen, and forward incoming phone calls. Provide basic and accurate information in-person and via phone/email.
  • Assists and coordinates incoming and outgoing mail, parcels, and other documents.
  • Coordinates with government agencies such as PEZA and local government units (LGUs) as needed on facilities related transactions.
  • Provides support in assigning facilities assets to employees such as lockers and monitoring the same by keeping a asset recording system.
  • Update calendars, monitor meeting rooms and other facilities reservation made by employees.
  • Arrange and organize logistics requirements of the business per request.
  • Assists in office hospitality such as ordering of packed food, catering, and other related requests for company events like trainings, team buildings, townhall, etc.
  • And other related tasks that may be assigned by the Senior Manager for Corporate Services.

Desired Qualifications

  • Candidate must possess at least Bachelor’s/College Degree.
  • At least 2-4 years of receptionist/office administration experience
  • Organized and keen attention to detail.
  • Customer service oriented and can work well in a team oriented collaborative environment.
  • Strong written and verbal communication, and interpersonal skills
  • Ability to multi-task and adapt to changes quickly.
  • Knowledgeable in computer MS Office Suite (MS Word, Excel, PowerPoint, Access), Outlook, Communicator, etc.
  • Ability to work independently and under tight timelines.
  • Ability to learn and work with minimal supervision.
  • Willing to work on-site and on shifting schedules.
  • BOSH training is a plus but not required.
