About the role
We are recruiting for an additional team member for the role of Virtual Assistant.
The objective of is to support the wider team with administrative tasks, supporting with social media activities and support the property buyers’ agency business with completing due diligence on property deals.
About you
We are seeking someone highly motivated and able to work under pressure in a fast-paced environment. Must work well in a team environment. Must be able to take ownership. You must be a problem solver.
The ideal candidate will exhibit high standards, excellent communication skills, and have an ability to take initiative, and prioritise daily tasks. A strong ability to take charge and meet tight deadlines will ensure your success in this multi-faceted role.
Roles and responsibilities
Buyers Agency
1. Admin Focused
- Prepare Buyers Agency Agreement for new clients for signing
- Keep in touch with stakeholders with updates at various stages of the purchase process
2. Property Focused (training will be provided)
- Run property reports on various tools available (Price Finder & RP Data)
- Run cashflow spreadsheet for the property
- Run internet research and initial due diligence on the property as requested
- Prepare property emails for clients and real estate agents
- Share property photos, videos, summary, reports and cashflow spreadsheets with clients
- Collate contract of sale, rental appraisal letter and provide to the Finance team for the loans process
Admin Tasks
1. Diary Management for the directors and senior team members; Liaising with clients via email to book appointments and meetings and send Zoom links
2. Facebook Group Management - creating events and responding to Facebook group members
3. Documents & Email Management
4. Maintaining / Managing Social Media Content
5. Coordinate and conduct ad-hoc projects depending on the needs of the business
Required
- Exceptional English written and verbal communication skills including good speaking voice
- Excellent telephone etiquette and ability to manage competing priorities
- Attention to detail
- Ability to work under pressure
- Ability to create and analyse reports
- Experience working with busy entrepreneurs
- Intermediate Excel + Google Docs
- Strong organisational, project management, and problem-solving skills
- Impeccable multi-tasking abilities
- High levels of integrity
- Flexible attitude and understanding that as the business grows, the role will evolve
