Job Description

Your Responsibilities

As our Senior Executive Assistant, you will be responsible for providing day–to–day support to our Chief Operating Officer (COO), a member of the executive team, based in Zurich, Switzerland. As her right–hand, you will support her in a variety of tasks, from administrative to strategic. Your ability to communicate, think critically, and manage projects will be key to your success. Among others, you will:

  • Monitor and report on the Operations division’s budget, initiatives and activities.
  • Act as the Operations Management Team’s secretary, document discussions, follow up on decisions and action items, and support the members as needed.
  • Create content for internal and external audiences, from analyst to the board level. Synthesize complex processes and situations into meaningful strategic and visual content.
  • Improve processes and identify areas of improvement across the organization to drive efficiency and effectiveness in planning, reporting and communication with the team and internal stakeholders.
  • Organize and execute team activities, provide ad-hoc administrative support, including expense management, travel, training and meeting arrangements, note-taking, and events planning and coordination
  • Own policies, processes, and internal tools together with the Executive Assistants/Administrative Assistants across different divisions

Qualifications

You Bring

  • Bachelor's degree in business management or similar degree
  • 10 years’ experience, 5 of which in a similar role or as organizational project manager ideally within the technology or ESG industry
  • Experience in an agile business with an international reporting line
  • A flair for digital solutions and the latest productivity tools
  • Organizational excellence and project management skills
  • A can do attitude and strong problem-solving and decision-making skills
  • Excellent verbal and written communication skills in English
  • Advanced skills in MS Excel, Word, Power BI, PowerPoint, Business Central, Planner and Teams are essential
