As an Admin Assistant at Identity Architects, you will provide comprehensive administrative and clerical support to ensure efficient operation of the office. This role is key in facilitating smooth daily operations, supporting managers and employees through various tasks related to organization and communication.

Qualifications:

Any bachelor's degree but preferably with accounting background.
Proven administrative and accounts payable experience.
Proficiency in MS Office (especially MS Excel, MS Word, and MS PowerPoint).
Excellent time management skills and the ability to prioritize work.
Attention to detail and problem-solving skills.
Strong organizational skills with the ability to multi-task.
Excellent written and verbal communication skills.
Experience with office management software like SAP, Oracle, or other ERP tools.
Familiarity with basic bookkeeping and financial management principles.
Ability to handle sensitive information with discretion and confidentiality.
Strong interpersonal skills and a friendly, professional demeanor.


Key Responsibilities:

Financial Administration:
Handles Accounts Payables
Process invoices, expense reports, and purchase orders.
Assist with basic bookkeeping tasks, including reconciliation and tracking of expenses.

Office Administration:
Manage office supplies and inventory, placing orders as needed.

Scheduling and Coordination:
Schedule and coordinate meetings, appointments, and travel arrangements for executives and managers.
Prepare meeting agendas, take minutes, and distribute them to relevant participants.
Coordinate office events and functions, including team-building activities and holiday parties.

Communication:
Draft, format, and proofread documents, email s, and reports.

Data Management:
Maintain and update company databases, ensuring accuracy and confidentiality.
Organize and maintain electronic and paper files, including confidential and sensitive information.
Assist in the preparation of regularly scheduled reports.

Support Services:
Assist in the preparation of presentations, spreadsheets, and other documents as needed.
Provide administrative support to various departments as required.
Assist with the onboarding process for new employees, including orientation and training sessions.
