Our client is a newly established BPO startup in the Philippines, specializing in back office and customer support services for a wellness company operating in the UK and Ireland. The parent company is a consultancy firm based in Gibraltar. All key operations, including voice support, customer service, and booking services, are managed from the Philippines.

Currently, the team comprises 35 to 40 employees, primarily customer service representatives (CSRs), along with 2 Finance Analysts. The company is seeking to hire a Payroll Officer who will initially be the sole payroll professional within the organization, responsible for managing payroll processes to support the company's growth and operational needs.

Overall purpose and responsibilities of the role:

As a Payroll Officer responsible for managing the payroll process for all employees within the organization, and ensures accurate and timely processing of payroll, compliance with all legal and regulatory requirements, and provides exceptional support to employees regarding payroll-related inquiries.

You will work closely with the HR, Finance and Operations departments to ensure seamless payroll operations.

Responsibilities

  • Administer employee end to end payroll processing which includes payroll input consolidation and preparation, validation of payroll results, coordination with the internal team to ensure accuracy and timely disbursement of salaries
  • Ensure compliance with labor laws, regulations, and company policies in payroll processing
  • Process transactions with the government agencies (SSS, HDMF, PHIC, & BIR) such as monthly government remittances and processing of loans/payables
  • Handle administration and calculation of final pay for separating employees, processing of bonuses, and special payments
  • Conduct regular audits of payroll records and processes to ensure accuracy and compliance with company policies and regulations
  • Attend to audit requirements conducted by internal and external auditors in timely manners and sees to it that all documents required are complete and accurate
  • Address inquiries and concerns related to payroll and benefits and resolve accordingly
  • Manage highly confidential employee data specifically on government and company payroll related information
  • Provide administrative support, including filing, data entry, and document management
  • Identify opportunities to streamline payroll processes and improve efficiency
  • Work closely with HR, Finance, and other departments to support overall business objectives


Requirements

  • Candidate must possess at least a Bachelor's/College degree
  • Has a Bachelor's Degree in Human Resources, Business Administration, Accounting, Finance or a related field
  • Has a minimum of 2-3 years of experience in payroll processing in a BPO setting is required
  • Has an above average proficiency in MS Excel; knowledge on payroll software is a plus
  • Demonstrate strong mathematical and analytical skills, with the ability to create and understand spreadsheet reports
  • Show a high sense of urgency, attention to detail and accuracy in payroll processing, record-keeping, and documentation
  • Possess excellent communication and interpersonal skills with the ability to engage and influence stakeholders at all levels
  • Has strong problem-solving abilities to address payroll issues professionally and effectively
  • Adheres to ethical guidelines and company policies regarding payroll and personal data
  • Has the ability to maintain the highest level of confidentiality
  • Adaptable to changing priorities and tasks
  • Has strong organizational and time management skills
  • Willingness to learn and contribute to a collaborative team environment
