Position Overview:
We are seeking a detail-oriented Operations Assistant (bookkeeper/accountant) with experience in the fitness/gym or membership industries. The ideal candidate will manage bookkeeping, accounts payable, payroll, and assist in financial reporting and compliance. Additional duties may include social media management and member retention tasks. This role requires proficiency in financial management software, CRM systems, and reporting tools.
Primary Responsibilities:- Bookkeeping: Maintain accurate financial records, including categorizing transactions, invoices, and receipts.
- Transactions: Handle financial transactions, ensuring accuracy and proper documentation.
- Accounts Payable: Process vendor payments and manage accounts payable.
- Reporting & Categorization: Prepare financial reports and dashboards, categorize transactions, and track financial data.
- Reconciliations: Perform regular reconciliations of bank statements and other financial records.
- Payroll: Process payroll and ensure timely and accurate payment to staff.
- Staff Onboarding (Finance): Support the onboarding of new staff, particularly in finance-related processes.
- BAS Preparations: Assist in the preparation and lodgment of BAS (Business Activity Statement).
- Compliance Calendar: Maintain a compliance calendar to track key financial and reporting deadlines.
- Government Grants: Assist in the application and management of government grants.
- Member Payment Monitoring: Monitor member payments, pauses, and cancellations, ensuring accuracy in records.
- Member Retention: Proactively communicate with members to retain those who are on hold or have paused memberships.
- Social Media Management: Post and schedule content on social platforms, and handle basic Instagram editing.
- Financial Reporting & Analysis: Experience with data reporting, financial analysis, and creating dashboards.
- Industry Knowledge: Prior experience in the fitness, gyms, or membership-driven industries.
- Xero: Proficiency in the Xero accounting software.
- CRM Systems: Experience managing customer relationships through CRM platforms.
- CRM Experience:
- Hapana (or similar, such as Mindbody).
- Gymsales (CRM for managing leads and prospects).
- Custom platforms (e.g., Functional Digital).
- Reporting & Analytics Tools:
- Experience with Power BI or similar data visualization tools.
Qualifications and Skills:
- Strong attention to detail and organizational skills.
- Excellent communication skills, both verbal and written.
- Ability to multitask and prioritize work in a fast-paced environment.
