The Maintenance Admin Assistant is responsible for supporting the administrative operation of the Technical Services LBE team at the Container Yard. The incumbent coordinates with different stakeholders to ensure that all the necessary administrative tasks are done.

  • Coordinate and follow up the request and approval of Official Business Travel Authorization (OBTA).
  • Coordinate the flight and e-tickets of Head of Technical Services LBE, Maintenance Planner, Maintenance Engineers and Maintenance Specialists with the HR Admin.
  • Follow up and check all the liquidations and receipts of all LBE Staff who went for OB.
  • Collate the data and create powerpoint presentations for the Head of the Technical Services LBE
  • Manage the inventory level of office supplies in LBE CY.
  • Monitor, follow up and coordinate the PR, PO and other requests in Sertica
  • Create minutes of the meeting for weekly or monthly department meetings.
  • Coordinate with the HR for any HR related concerns and inquiries raised by the Maintenance Specialists.
  • Other related tasks that may be assigned by the Head of Technical Services LBE.

Qualifications:

  • Bachelor's degree in Business Administration, Office Administration, Logistics, Supply Chain or a related discipline.
  • Preferably with 2 or more years experience in administrative roles.
  • Knowledgeable in using office software such as Microsoft Office (Word, Excel, PowerPoint, Outlook), Google Workspace (Google Docs, Sheets, Slides, Gmail), and other relevant software tools
  • Knowledge of effective record-keeping practices, file organization, and document management
  • Willing to work in Balut, Tondo, Manila
