We are seeking a seasoned and responsible Executive Personal Assistant with creative graphics, print shop, or sign shop experience to join our dynamic team!

Position: Executive Personal Assistant
Location: Virtual work from home
Job Type: Full-Time

Responsibilities:
As an Executive Personal Assistant, you will provide vital support to our owners and management by handling a variety of administrative and clerical tasks, including but not limited to:

Answering incoming calls and directing phone calls to others if needed
Organizing and scheduling appointments
Planning meetings and taking detailed minutes ( ZOOM )
Writing and distributing email s and correspondence
Assisting in the preparation of regularly scheduled reports
Developing and maintaining filing systems
Updating and maintaining office policies and procedures
Ordering office supplies and researching new deals and suppliers
Submitting and reconciling expense reports
Providing general support to visitors
Acting as the point of contact for internal and external clients
Liaising with executive and senior administrative assistants to handle requests and queries from senior managers
Managing office tasks, such as organizing data, generating reports, and presentations, setting up for meetings, and reordering supplies
Making travel arrangements, including booking flights, cars, and making hotel and restaurant reservations
Maintaining polite and professional communication via phone, email , and mail
Anticipating the needs of others to ensure a seamless and positive experience
Handling multiple projects with accuracy
Reviewing and reconciling Accounts Payable & Accounts Receivable invoices
Writing letters and email s on behalf of other office staff
Handing sensitive information confidentially
Developing and updating administrative systems to increase efficiency

Qualifications and Skills:

Proven experience as an administrative assistant or office admin assistant, preferably in a print shop, sign shop, or related field
Knowledge of office management systems and procedures
Working knowledge of office equipment, including printers and fax machines
Proficiency in MS Office (especially MS Excel and MS PowerPoint)
Excellent time management skills and the ability to prioritize work
Attention to detail and strong problem-solving skills
Excellent written and verbal communication skills
Strong organizational skills with the ability to multitask
A high school degree; additional qualification as an Administrative Assistant or Secretary is a plus
