POSITION SUMMARY:

This role will be responsible for supporting the business in all Bookkeeper and Service Admin related activities. Including but not limited to General bookkeeping, wages, job management, managing contractor insurances and licenses, ensuring technician licenses are up to date, and overseeing vehicle repair and maintenance processes. The ideal candidate will have Bookkeeping experience.

PERFORMANCE OBJECTIVES:

  • Internal Bookkeeping including daily reconciliation across multiple entities
  • Accounts payable and receivables including Payment processing and preparing ABA files
  • Timesheet and payroll processing - including entering times in simPRO against jobs, and enter payroll in Xero (including overtime and allowances)
  • Monitor contractor insurances and licenses, ensuring compliance with company policies and regulations
  • Manage technician licenses and inductions (site requirements), ensuring timely renewals and compliance
  • Oversee the repair and maintenance schedules for company vehicles, ensuring minimal downtime and adherence to safety regulations
  • Create jobs and support technician schedules including recurring jobs for maintenance / preventative works
  • Regularly check inbox for client and job requests
  • Manage simPRO administration including archiving old quotes, supplier purchase orders, catalogue items, vehicle and warehouse stocktakes etc
  • Regularly check Purchase Orders and Invoices allocated
  • Follow up client quotes and ensure notes are regularly updated
  • Safety administration against client requirements, including downloading appropriate SWMS documentation, editing to suit and uploading to appropriate safety system
  • Support a secondary business (Homewares) with general data entry including Shopify and Lightspeed maintenance when required
  • Provide general administrative support to the service team, including filing, data entry, and other tasks as assigned.

Requirements

SKILLS:

  • Accounting / Bookkeeping qualification required
  • Xero Certified and Xero Payroll Certified required
  • Proven experience with simPRO, or a job management system highly regarded
  • Strong organisational and time management skills
  • Ability to communicate effectively
  • High attention to detail and the ability to manage multiple tasks simultaneously
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

PREVIOUS EXPERIENCE:

  • Previous experience as a bookkeeper required
  • Previous experience as a bookkeeper within an Australian business (and therefore awareness of Australian Tax - GST) highly regarded
  • Previous experience in a service administration role, preferably within a construction, electrical or maintenance industry
  • Basic understanding of compliance and safety regulations related to contractor work and vehicle maintenance
  • Previous experience with simPRO or equivalent software.
